What is the procedure to be adopted while the employees carrying their laptops and other accessories during their holidays / and leave / in software companies as many of us will be having this confusion as how to keep a track on these objects.

Hi srameshkanth,
It is very simple just before sending anybody on leave, make sure you sing on Leave Clearance form. Which will definitely give you a track of it.
For an example I have attached one sample.

Dear Ramesh,

You can do following:

a) Make a insurance for every laptop.

b) Make a policy on allotment of company property to employees. You can click here to take inputs on how to design this policy.

c) Maintain Fixed Asset Register (FAR). This will help you to track the laptops. You can click here if you wish to know the format of FAR.

d) Issue laptop to any employee with proper loan card. If FAR is not maintained, then let your IT Department or System Admin maintain file of the photo copies loan cards.

e) Original loan card may be deposited to HR Department for preserving in the respective employee's file.

f) Let System Admin renew these loan cards after every six months. Obtain signature of the employee for renewal after every six months.
