Respect Seniors,

I am working for a manufacturing firm i just wanted help regarding latecoming policy.

1. How much grace time should we give to our employees with respect to their actual timing.

Ex.If a person's timing is 10:00 AM how much grace time should he given. We have punching machine where we can track in time and out time for each employee.

2.How many times a person can come late and what action must be take if he exceeds it.

Ex. If a person is allowed to come 3 times late what action must be taken if he comes late fourth time.

3.Also many employees say they went for official work so it became late for them, which they don,t inform me the same day. when i tell them you have Exceeded no of late coming, then i get reply for them that i went for official work and I was not late.

4.There are also some staff working in dispatch department who go late by 1-2 hours or even more than that some times they say that we go late so you people should consider us for late coming. What policy should i frame for people who go late with respect to their actual timing.

What should i do for such kind of issues plz guide me friends,Coz people like me who come before time are suffering for this, no proper action is taken against the latecomers and they are enjoying doing this..Can some one help me with this point wise.

Hi,
You can frame the policy like:
1. Grace Period can be 15 min. Max late coming by 15 min should not exceed more than 3 times a month. Late coming by 1/2 hour can be allowed twice a month. Late coming by 2 hours can be allowed once in month.
2. you can deduct 1/2 day or 1/4 day leave for every extra late coming exceeding the limit.
3. If employee comes late and says that he went for the official work, in such case, employee will have to take an approval from the immediate supervisor for the same. If the supervisor does not approve it, consider it the late coming exceeding the limit and deduct the leave (as suggested above).

It depends upon your leave policy. Half Days can be deducted till all casual leaves are exhausted. After which all leaves taken/deducted are considered as Leave Without Pay (LWP).

Hi,
I think 15 minutes grace time can be reduced to 5 minutes, since inthe earlier stages we dealt with the same thing, taking it lenient, everyone made office timing as grace time, which resulted there is no grace time. So if they are utilising in efficient manner, you can continue with 15 min else you can make it for 5 min.

Some company's rule on Late coming

Dear All, Greetings!

Kindly put into practice of reporting to work by max. 9.00 AM

Please inform your colleagues who do not have email ids (official /personal) about this email.

Disciplinary action will be taken against those who fail to adhere to the above norms. No lame excuses accepted please, except in genuine, unavoidable & problematic situations, wherein you should inform the department head and/or HR about the same.

Am sure that this little effort and adjustment will go a long way in creating better rapport with the existing clients, will enable us to procure more clients, will enhance first-rate customer service, thereby bettering our Goodwill in the market.

The new rules in regards to late coming have been defined underneath. Any clarifications in regards to that can be clarified with the Human Resource Department/Office In charge.

Seeking your co-operation for the advancement and progress of our organization, in return, ourselves!

Late Coming Rule

Office Timings – 9.00 am or 0900 Hrs to 6.00 pm or 1800 Hrs

9.00 to 9.10 would be a Grace Period

1st Slab: 9.00 am – 9.10 am

 If an employee comes 3 times in this slab in a week, one (1) day salary would be cut

 If an employee comes 6 times in this slab in a month, one (1) day salary would be cut

 If an employee comes 8 times in this slab in a month, two (2) day salary would be cut

 If an employee comes 10 times in this slab in a month, three (3) day salary would be cut and so on.

2nd Slab: 9.11 am – 9.30 am

 If an employee comes 2 times in this slab in a week, one (1) day salary would be cut

 If an employee comes 4 times in this slab in a month, one (1) day salary would be cut

 If an employee comes 6 times in this slab in a month, two (2) day salary would be cut

3rd Slab: 9.31 am – 12.30 pm

 If an employee comes in this slab in a day, half a day salary would be cut

4th Slab: 9.00 am or 0900 Hrs to 6.00 pm or 1800 Hrs

 If an employee comes in this slab whole month, an attractive and useful gift (price of that gift will not be less than salary of One day) will be provided to him/her.

Note: If an employee works overtime in a working/non-working day (apart from office timings) then company will pay 2 times salary of usual salary.

This policy is under function W.E.F. DATE 31th July 31, 2010

You are requested to follow and co-operate the same to function new/revised policy to function well.

Yeah meena I agree with you.
Well We have given 10 minutes Grace Time most of them come within the Grace time.except couple of them..
even in my Company People take it for granted and they consider grace time as their actual timing.

Sir,
I was facing the same problem, when I joined the company as HR. People were coming late. But being responsble, I used to come on time. And at the same time I communicated indirectly to every one, with the solution of their queries and the results of late coming. Also my company has few employees who used to come too early. They acted as support to me.
This way for me, it seemed no use to form any strict policy, because I know each and every employee of any company is responsible the rules and responsiblities by himself. HR need to just support them where they are lacking.

You can use lot of automation devices to track, monitor and control late comings in a manufacturing sectors. When the number of employees increases it is humongous task to track and record and inform payroll. The same devices also have the facility to send SMS information from persons in the filed and it requires just an formal approval from ROs. Today the technology is so advanced that you can even schedule people automatically depending on the skill set and experience.
