I am Nikita, new in CiteHR so therefore I do not know much how to work here but I am learning.

I am working in a small IT Company based out in New Delhi as an HR and Admin Executive. We are around 25 to 28 Employees here including 3 employees in HR and Admin Dept. Rest of the employees are engineers.

The problems that we are facing is the late comings! Our working hours are 9 AM to 6:30 PM and 1 PM to 2 PM is lunch hour. The HR Manager has given grace timing as 15 mins in the morning. I will in short mention the time issues we are facing here:

1) Employees who come at 9 or 9:15 AM, leave at 4 or 4:30 PM.

2) Employees who come at 10 or 10:30 AM, leave at 6:30 or 6:45, sometimes

7 PM as well.

3) HR Manager does full shift.

4) I do full shift, in fact I do 8:45 AM till 6:45 PM shift.

5) The office boy does 9:30 AM to 6:30 or 6:45 PM shift.

We are fine with the Engineers' times. The Senior most person does not have an issue, we do not either. The environment is very comfortable here. Another senior person talks to his team regarding this and we the HR Dept, tries to stay away from the working of Engg Team. Our work is to maintain discipline in office and the Senior Engg is trying to do that.

The area where HR team faces a problem is the Office Boy. What I have seen and heard from other people is that Office boy opens up the office, cleans up, serves tea to all in the morning. In evening he locks the office after everyone leaves, irrespective the time.

Here, initially the HR Manager was opening and locking the office as we had just hired the Office Boy and we did not want to trust him that much but now I am doing this job, hence my timings! I have tried to speak with the Office Boy in an encouraging way, did not help after 2 days. The HR Manager tried to speak with him, again did not help after 2 to 3 days. We tried to understand his problem, according to him, he has to drop his kids off to the school, take them to the doctor's sometimes. When the kids have holidays, he still comes at 9:30 AM.

He gets over time money if he stays back late, it gets reduced if he comes late. Eg: If he comes at 9:30 AM and leaves at 7 PM, he will not get OT for the half an hr stayed extra as he was half an hr late.

We have tried both Good and Bad way of asking and telling him to come on time. We do not see any progress. When I ask him why he got late, he says, I had work.

This is when I get frustrated. My question is that when we have an Office Boy whom we trust now and he sometimes stays back when Enggs have work (with a crying face), why can he not open up the office on time? I do it, I travel 20 kilometers coming to office and 20 kilometers going back home, HR Manager has done it, his place is 10 kilometers away, then why he can not? His place is hardly 3 kilometers away and he has his vehicle..

Please help me. I want to know some way to motivate this guy so that he can come on time in the morning. Few times we ask him to open up the office and he does it at 9:30 AM. I need your help to make this right.

Dear Nikita,

Today's scenario you can get people for any position but it is very hard to get office boys / housekeeping persons.

Dont encourage this type of attitude from a office boy so you can terminate him.

But why he is doing you have to analyse.

Whether he is doing personal work for your employees like buying breakfast/lunch/coffee/snacks.( Dont encourage that and pls stop it immediately)

Give him some official work like data entry / file management. ( Even though he is a office boy he does not want to be a office boy throughout his life, so workout a career growth for him).

The main problem is he is married and having kids so his vision will be higher nowadays and would be looking for a change / growth / higher salary. so he does not show his interest 100%.

So i recommend you to look for new young office boy.

Still you want to continue with him make a career path for him and explain to him. he will change.

Never use the salary hike tool to this kind of employees since they will use it periodically and create unnecessary problem.

Thank you for replying back.
In the past few months we have increased the KRAs of the Office boy.
We are trying to understand more deeply as in to what really is the reason for his coming late, analyse it and see what we can do about the whole situation.
We agree that since he is married and has kids so he has more responsibilities at home. He has to drop off his kids to the school also.
His Overtime has been there since we hired him. Salary hike tool is unnecessary I agree.
We will create a plan for him. And probably a questionnaire for everyone including him so that we can understand all the employees in more personal way.
