the best way to speak in an official manner is to be semi-formal that is don't say sir too mamy times, but at the same time convey your sincerity by using it at the right time. secondly, stick to the topic of your discussion and if you are feeling nervous or something, as suggested, just send a mail. usually, people have very less time to listen to others because of the work pressure, therefore, keep your conversations as limited as possible, telling only important things and communicating the rest via mail.
