Manpower planning is a not a small topic.

Initially delve into the current practices within your company for

a) prepare "Master production schedule planning"

b) Capacity Utilisation

c) Historical transaction patterns plus future trends over the last one year and coming next one year duration.

d) take note of cycle time eg 30 mins for a internet/ web based chat and then make "Roster" for the coming one week

let me explain point D:

Once the roster for the coming week has been finalised, no changes are allowed.

Remember a few fine points though:

Brute force ie overtime or hiring manpower in excess of requirements denotes Planning capability is ZERO from management side.

late arrivals/ early leaving is not an issue. only unscheduled leaves affect

company's targets.

wherever not explicitly stated and reqd from the client side, do not place the same person in the same work shift throughout the year.

Make shifts purely on transaction flows.

Which is the industry you are in: IT/ITES/Service/Manufacturing???
The approach to manpower planning and the base criteria/flows/ are different, basic concept remaining the same.
Your query on the matrix of the whole organization is not understood. What matrix did you refer to??

Hi Rahul
Firstly, thanks for ackowledging my request.
I am into IT industry, a product based software firm. We are a company of 60 people and planning to reach the number 100. I have to make a manpower planning document where i should be telling about the present scenario and the required in the future .
So i am looking for some help in a sense that what are the major fields and how should i explain them.
By matrix organization i meant the geometry of the complete organisation in a form of flow-chart. So if u have any document , i can use as an example, please forward the same.

for manpower planning, you may ask the operations/ project manager as to how he has arrived at the projected figures esp the business volumes/ deficit skillset part etc.
HR comes in second as a verifier, first the BD/ OPS manager should justify the figures.
make your organisational hierachy on excel. however analyse the workflows sometimes they may be contrary to established hierachies, added benefit would be you will arrive at some good process improvements too.
