Dear all, this is Sanika. One of our employees has done a great job. He completed the project ahead of schedule and has worked beyond his capacity. I want to appreciate him. However, the issue is that there is no existing system in our company. Therefore, I want to start it from the beginning. Please suggest some techniques that will work as motivation and not be harmful to other employees' motivation.

Recognizing Employee Performance: A Balanced Approach

Why should other employees feel bad if a performer is given a reward? I understand that he/she might be junior to others in the team. In fact, what you can do is take feedback from others in the team and share his success so that everyone is aware of his performance. This leaves no room for a biased approach, and others will accept the fact.

If it is a monetary reward, you can explain the criteria on which that particular employee is rated and announce the reward in a meeting to motivate others. If it is a non-monetary reward, you can give a letter of appreciation, an award letter, or a promotion letter (if it is an annual appraisal) for the performance in a meeting where other team members are also present.

In fact, you can also explain how the team and company will grow if everyone strives to perform and excel.

That's a good initiative you are trying to start with. I do not think it should be harmful as long as it is communicated properly across the organization. You can give him/her a monetary gift, a dinner coupon with family, or a coupon to an entertainment place, etc. As this is a new initiative, you can start with the above ideas right away. Meanwhile, you can also set some guidelines to get this award.

Subject: Awards and Suggestion Scheme

Based on the constant feedback from all of you, we hereby want to implement a rewards scheme for the Best Worker across categories, for the Best Staff, Best Shop, and for the Best Suggestion received towards the improvement of the organization. Towards this, the following rewards will be initiated going forward:

1. Reward for the Best Suggestion received from both workers and staff.
2. Best Shop of the Quarter and Year
3. Man of the Quarter (Worker)
4. Employee of the Quarter (Staff)

The evaluation of rewards No. 3 and 4 will be purely on merit, and the rewards will be commensurate with the impact of their performance.

Criteria for the Best Shop:
A) Customer Satisfaction (Customer Satisfaction Criteria - Customer Schedule Adherence with Delivery on time, Our PPM Level at Customer End, Customer Complaints, etc.)
B) Internal - PPM
C) Continuous Improvements
D) Housekeeping
E) Safety (Zero Accidents)
F) Inventory

After every quarter, deserving candidates and the shop will be awarded suitably in front of all the employees.

NOTE: Suggestion Forms will be available with the HR Dept.
