Hi

It is very essential to keep in mind that the person who you call up for the referral of a potential candidate is actually doing you a favour. Hence one must be very polite and ensure that you do not take up too much of their time.

It is best if you have a couple of pre planned questions kept ready so that the moment you call up and they are ready to respond to your queries you do not waste any time.

Immediately after calling up identify yourself and your organization and quickly tell them you are calling in connection with the hiring of the Candidate (give the candidates name) who has given the reference. Also ask if it is a good time to talk or seek a suitable time from that person to call back again.

Once the person you call is ready to answer your queries ask them the questions you want answers to about the candidate under consideration.

The questions could be as under :
How do you know the candidate
How long have you known the person
How would you describe the person

Finally end the call with a warm thanks for sparing time and the reference.

Best Wishes

Hi Friend,

This referral system is a network chain and one should know how to use. For instance if a candidate X refers a candidate Y, then while giving a call to Y start with following :
  • Start with a greeting note (Good morning / Good Afternoon / Good Evening)
  • Mention the name of the company you are calling from
  • Mention your name and department to the candidate
  • Tell him that his/her friend X has referred him/her for the current requirement that you have in your company.
  • Throw somelight on creating awareness of the scope of technical exposure that have for this post.
  • If he/she is not interested then ask him/her for referrals. If he/she is interested then explain him/her about the JD of your requirement. What is that you are exactly looking for?
  • Get to know about the candidate by allowing him/her to introduce about them. While they present themselves, estimate their attitude.
  • Just see if he/she matches your requirements or not.
  • Find out the CTC, notice period, take home salary and Expected CTC.
  • Ask them to elaborate on the current projects/products that they work for.
  • Enquire if they are under any sort of bond or contract in their present company.
  • If you have a set of techincal questionaire then proceed or else skip it. Ask them to judge themselves on technical skills on a scale of 1-10.
  • Get to know about their commincation skills - make a note of it.
  • Check their family background - Just to see if they are from a educated family. How fare are they located from your place. Where are they put up? How far is that place from your office? etc.
  • Find out the reason behind switching the current company. Rule out if they say career growth because without that they would have not joined that company. Get the exact reason.
  • From the way they speak you can guess if the candidate is holding any other offers in hand. If so then just reject him/her - Don't forget to take the references before ending the call.
  • If everything goes well then either ask the convenient time for the candidate to take up next level of interview (or) give away the slots that you have for interview process and arrive at an decision.
  • Make sure that the candidate email address mentioned in his profile is right such that you can mail the interview details to him/her.
  • Just say that you have 3 (or) 4 opening for this position and request him/her to refer their collegues or friends with same competency levels as yours.
  • Thank them for their time spent

- Babu
