Here my suggestions :
  • Is this mentioned in the appointment letter, that if an employee remains absent from work for three or more day without any information to the reporting manager , it would lead to the first warning being issued for the employee to notify unscheduled/uninformed absence.
  • The first warning letter would allow the employee to revert with next three to five working days. [Upto 7 days in some cases]
  • Incase there is no response from the employee , it would lead to the second warning letter where the employee would have revert or else it would automatically lead to termination within next 7 seven days .
  • The termination would be declared through the third letter issued on the 21st day of absence.
In any case, please do initiate a stop payment notification from the HR department to the finance. This is how it works:
  • When an employee doesnt report to work, the reporting manager would inform HR about the uninformed leave. This would automatically initiate the stop payment, till the employee reverts and resumes work.
  • This lessens the burden of recovery from the employee and helps in calculating full and final settlement.
  • The stop payment is merely a notification, it doesn't mean termination. It freezes the salary calculation for the employee, hence is not processed and disbursed. The stop payment can be revoked at any point of time, with a notification to the finance department to resume the salary for the employee. The striking off the name from the payroll can happen only at the end of 21 days with three letters issued and no information received from the employee.
  • This would keep a check on unscheduled and uninformed leave. It also helps in freezing the account for absconding employees.
Please do revert if you have any further queries on this.
