Dear All,

i am working in one pvt ltd company and recently i came to know that company doesnt have any policy for engineer. our account department is blindly passing their voucher of travelling but

when i have seen that they are putting voucher for home to comming at office also then i asked them how they are passing voucher because company is already providing home to office travelling expence in conveyance allowance so i told them not to pass any voucher for home to office and office to home voucher

I have explain them company is already providing you home to office expence in conveyance allowance that why we have stop to passing but

Now the condition is engineers are not comming at office as they are not getting petrol allowances they argue me at the timing of joining to till we are getting and now you are saying its a part of salary we are comming form 50 to 60 km distance then Rs. 850/- coveyance allowance is not affordable to us so we are not comming , we are getting allowance by visiting customer then why should we come to office

And we are unable to track their activity weather they are on leave or at customer place becasue they are submitting visiting report on 15th days interval so daily tracking is not possibe for us

Please reply me with good suggestions to solve condtion....

Hi Dhruvin,

Firstly if u have committed it to them at the time of joining then they r right that u cant back out... even in our company we r getting Cnvy All. but still we get petro card as perk.. Also, u can introduce petrol reimbursement as fixed amnt for employees as per their level in org so that this prob is solved...

or if u havent committed then in consultation with their HOD's u shud ensure in a team meeting that the salary structur has been revised.. n some components have been changed. n to respect the decorum of company they shud come to the office.

If they r at clients place then it becomes hard to track.. u can try introducing customer's feedback form in which customer can mention the dates worked. or the HOD can ask for daily report of work accomplished. n even tell that random checks can be done.. do random check once or twice a month n all will be welll

I ANSWERED THIS QUERY NOT BECAUSE IM A GOOD HR BUT BECAUSE I THOUGHT THIS MIGHT BE A PRACTICAL SOLUTION... ALSO, THE TAG LINE OF UR POST SUGGESTS AS IF ITS MORE OF A CHALLENGE THAN A REQUEST FOR SUGGESTION... SO DONT MIND BUT THAT SOUND RUDE..

I, too, find the title of your thread a bit improper.
Please discuss this matter with higher management, as in my opinion, it is a policy matter and beyond your jurisdiction.
At times, many issues can be better understood by empathy. Also, excluding the engineers, what about others. Are they getting conveyance allowance (a paltry Rs. 850) as well as other "petrol" allowances ? What are you getting ??
Hope you understand that the Rs. 850/- that is paid every month as Conveyance Allowance is NOT the amount that is actually incurred (the engineers are right in their grievance); but the amount that Can be paid Tax-free without any additional documentation, under the IT Act.

Good Day,
I agree with Raj, The conv. all. paid with the salary is not to cater the actual travel expenses but it is a break up of salary into different components which is common in the market. Despite of the this allowance in salary most of us get some petrol limit or any other way to cater or official travelling or even if official travelling is not required, petrol / travelling allowance is common in the market. For outdoor jobs it is now considered as part of the deal.
Secondly, my proposal is to talk to these guys in presence of their superiors, and resolve this issue with consultation. For future hiring on these positions this matter should be discussed at the time of interview and a deal should be signed or make a part of appointment letter.

the same problem is going with one other company in silvassa and we are shortout this problem through destroy the unity and recruit the new worker in plant. but it will take some time and agree with neha also. she is right.

You need to create a policy for the same as you didn't had any. Include two wheeler & four wheeler petrol allowance according to the levels.
Discuss with the concerned HOD's first. Take a vague visiting list of the customers, if required. You may tally them in every four days. Ofcourse, you may introduce customer's feedback form.
Above all, discuss with the management and set certain parameters for every deptt. as this problem could arise in future also.

First you need to select the team leaders for each team.and then tell every Team leader to submit his/her Team's Attendence to HR by mail on daily basis till 10am in the morning.you can give them a particular Attendence format for daily use.I think this can resolve attendence Problem

First of all I must mention that the English of Dhruvin Sureliya is not so good, but his attentions are good. He Just wanted to say (or convey) that he need expert advise on the matter. So lets not make it an issue.

Secondly, I agree with the peers and experts that a policy has to be placed on board regarding the engineers or other outdoor officials to pay them conveyance allowance as well as to track their presence and the moment. This could be linked to the business conducted during the day.

At dusk every such employee should draw an itinerary for the following day and mail the same to the HO. Following morning at start of the work he should report over email/phone to HO/Team Leader and take last ditch instructions. During the day too, he should keep in touch by phone/mail and keep posting the latest position and take further instructions. At the end of the day (may be from the comfort of their home/hotel) they should file a report regarding their days activity together with the following day’s itinerary. This will keep a track of their activities and also vouch for their progress.

A sample checking should be done by phoning the people whom the employee claims that he had visited and transacted certain business with them to ascertain the truth. This will keep them on their toes to perform.

Rest, for setting up the policy, I agree with other that the matter should be escalated to involve the HoD etc. to finalize one.

I agree with neha and all.
First u should make new policies and put therm on board highlighting the perks and conveyance allowences.
Secondly there should not be gap of 15 days to submit the report of their client visitng. One should submit the report on daily basis nd there HODs should be instructed to trace the engineers by giving sudden calls to thier clients.Nd make it mandatory for them first to report in the office in the morning then to visit the client.
Nd in future, for hiring on these positions, discuss this matter at the time of interview and mention these points in their appointment letter and get it signed by them.
