The Performance Improvement Discussion is the second step in the formal stage of the VIP process. A meeting similar to the one for Verbal Support is conducted. Before conduction the meeting the manager should complete the Formal Meeting Checklist. At the end of the meeting the employee is told he/she will be issued a Performance Improvement Letter, at this time the manager should also complete the Post Meeting Worksheet.
About the Performance Improvement Letter
Below are the key points that should be included in the letter:
- Statement of the problem. Identification of the unacceptable behavior, the rule that was violated, or the standard that was not met and a statement of previous efforts to correct the behavior.
Explanation of the negative impact on the unit’s operation.
Consequences of continued infractions.
Employee’s commitment to make correction (if any).
Follow-up action to be taken (if any).
