The beauty of this letter is that, it in no way attempts to de-motivate or humiliate the employee for the demotion and the format is most suitable in case of "restructuring".
However, your post does not give much information - whether the demotion is part of a punishment (wherein due process of natural justice has been followed); or a restructuring exercise.
Members should give complete information (background/events leading to the situation) to enable members to extend appropriate help.

Thanks for ur help but this draft aint helping me :( . I have to demote an employee through CIS (Change In Status) (form) ) where i have to mention the reason for demoting him. The employee was on probation period. The probation period is over and I was asked to rate his performance. Since his performance was not upto the standards I was told to demote him to "seaman / oiler ".
Sorry as Mr. Raj said that my post wasnt very clear is very true.

the issue may have been resolved ,
but i am curious to now from what position he is dropped to OILER ,
because I dont think OILERS have any promotion ,
yeah they do get increase in salary with gain in no. of years,
they can only become Pump man , and that too 1 out of 100 ,
What Dinesh has written is a letter meant for CIVILIAN world , mean ON SHORE jobs ,
what you are asking is for SEAMANS ,i guess?

yes this issue has been solved and now the empl is holding Oiler's position, with decrease in his Salary.
Yes ur rite oilers get increase with gain in no of years. Yes I was asking for Seaman... We have Mechanics working in the boat but in our HR grading system HD Mechanics are considered as same position for both onshore and offshore which i think is not rite.
