Do we need to maintain Physical Salary Register as per Bombay Shops and Establishment Act, EPF and ESIC regulations?? Can we have computerised register and do away with the procedure of signing?

Well As far as i know Salary Details is a must in a company, in my Past jobs in HR, I use to maintain a salary register where i would enter all the details from a printout computerized copy here the staff was less . later when i changed to another job, here we had huge no. of employees here
a file saying Salary Statement was opened i would take printout evrymonth of salary details and maintain a file.

Hi, Data has to cover items required by Law, and exemption for maintenance of records electronically, has to be obtained from the appropriate authorities. Ravi.B.S.

Thanks Fay. We have employees in different sites. So we ahve opened salary account in Bank and deposit their salary every month.
It becomes difficult to get signature from each employee at every site and maintain it in a single register. This is the reason for my post whether such a register is mandatory or can we keep a computerised sheet without signature.

Thanks Ravi. But do we need to get permission from every authority who checks our register???
Sice we have people working at different sites in different shifts, maintaining a register is becoming difficult. How to avoid this? We have salary account in bank for all staff. Kindly advise.

Hello
It is mandatory to keep the record of salaries.
In your case u can take a computerized print out with bank account No. specified in the statement along with other details and signed by the concerned authority.
Maintain all the record in a file & name the file as Salary Statements 2007. thereafter this can be produced during audit.

I just realized that an important aspect has been missed out while question-ans on the thread i.e. "What is the process to get exemption for maintenance of records electronically"
Can someone help and point to a link, website.. stating process to obtain valid permission, especially for the Maharashtra State.
