Dear Seniors,
We are in the process of designing a system where we can track the employees who leave early. I Need your valuable suggesstion on the same.
we are into a healthcare BPO service where employees are working in shiifts.The problem is that the employees leave early or on half day leaves (specially during Night shifts) and there is no track of them. Basically as per the company policy they are supposed o take approval from their line managers ,and the line managers in turn would inform the HR department. But some how the procedure is not effective as eiether due to the neglegence of the Line Managers ar due to communication Gap . So we have decided to get the Security department in picture and the direct Intervention Of HR in approval process so that the department can track these employees.
Kindly suggest me how shoud i start of and take it furtheer.

See Arun Placing a policy is very easy but designing a check list process for the same is difficult...
I think you can take following steps to keep a check on that same up to certain level
1) Approval process is ok
2) I Card visibility - Make it mandatory
3) Check in n Check Out time - to be mentioned by employees every day
4) Security – Involve your security guard and give him rights to stop an employee if not wearing an I Card and not filling the entry
5) Scrutiny of Register - Check Register daily and mark the blank entry with red
You will have a large amount of dependency on Security for that purpose see that your guards understand their weighted responsibilities

Hi Arun,
Some process that can be followed :
1. Employees has to carry their Swipe card everyday. In & Out timings should be recorded. Apart from this Attendance Registers should be maintained for cross checking.
2. If total working hours is less than 8 hrs in a day, it is considered as half a day.Same should be deducted from their salaries.
3. Taking leaves without approval should be considered as LOP's.
This will initiate some responsibilities in Employees. [as this will directly effect their salaries]

Install bio metric finger print system for in & out entries,instruct staffs register their finger print during in & out.
This system will help you to track them easily,you can these biometric system from "Precitron" available all over india.

If more than 50 employees, it is worth automating.
Manual process is prone to errors, more involvement, more inspection, subjective, and meeting with many defaulters (there will be).
With automation, doors don't open without swiping, and if they open they record the time of the particular swipe. The process can be easily scaled to any number.
If this is not feasible, create a system of entry and exit (separately) placing security guards. All entries and exits are entered with basic employee identifier details. Load to XL and work it out. It is important in this case to rotate the security guards on a daily basis.

You can have login system in their systems installed which is aligned with intranet, from there you can take out the report.
Hope most of the BPO organizations have such system.
As its a dependent on other so involve them to correct the system.
Also you can improvise on task basis instead of attendance if feasible as task accomplishment is important).

Hi Arun,
As Pandiyarjan suggested we can opt bio metric finger print system for in & out entries,instruct staffs register their finger print during in & out. This also incurs a low cost when compared to other usage of technology.

the best way to keep an eye on entry and exit of employees is to keep the records on biometric finger print based attendance marking system with electromagnetic locks on multiple gates. one more effective step will be to install a camera near main entrance where the fingerprint machine is installed.
hope it will work and solve your problem upto certain limits.

Hi Arun,
To track the employees who leaving early from the office is to check the following things.
1. Do briefings to all the employees stating that if any employee leaving early or taking half day without prior permission from superiors will be marked as LOP.
2. Make them understand the requirement for the process to improve productivity for the betterment of himself as well as for company to grow.
3. You can check the login and logout timging from the phone which is installed to check through CMS, that will be very useful report to check the employee whether he/she is repeating this regularly.
4. Educate them about the importance of job which makes them happy that there is someone who is responding to them and also about some professionalism in a corporate sector type industry.
