Implementation Of Process And Policies - CiteHR

Hi,

I have recently joined a company which is basically a manufacturing firm. HR has a very less role to play as of now and there is no process and policy as of now.

I have been given a task to implement all the proceses and policies. Now, my problem is that no one is ready to accept the changes from the processes currently being followed. there is no SLA defined for any task, no time limit, no ownership. And when defined no one is ready to accept - Even the senior management.

Would it have been a new organisation it would have been easier for me to implement the processes as it would be in a formation stage. But the compan is fairly old (more than 15 years) and so are most of the employees. So, they have a comfort cussion of their on and to some extent a monopoly as well.

Being a new employee i can not enforce things - first coz of the limitations of authorities, and secondly i dont want to implement things on people, as they might go aginst me and do not accept me into the system. But its realy difficult for me to get people doing the things in a comparitlively systematic way. I do not expect to bring the changes overnight, but atleast we could start working on it...even thinking (about bringing about the changes) would be good.

I need your help to understand, how i can do the things and implement the process in a smart way.

Thanks in advance,
Neha

Hi,
Congrats, you got an opportunity to prove yourself. Before doing anything, plan it well.
Try to understand the amount of support from top management and keep an eye on power politics.
Don't create too much inconvenience to employees...so important to know their comfort level
Neha,

This is the common scenario. Especially when it comes to a single proprietorship or family run business.

You need to do few things before even you think of doing something.

Note the following points and answer yourself:

a) Who interviewed you at the final stage before appointment? Is this the same person who asked you to implement the policy and procedures? Is he a decision making authority?

If the answer is yes; i.e, the person who finally appointed you- the final decision maker has asked you to do the policy implementation)---- Congratulations you are very lucky and do not miss the chance to prove yourself. So then the next step will be as follows:

1. Create a policy and procedure doc. You can get the best from Citehr website. We have wonderful mentors around to help you in this this issue. You can down load them.

2. Understand a process of the company.( For eq. in recruitment- A)You get a requirement for the position of lets say Sales.[The first thing you can do to start is ask the authority to send you amail on the request for the position of SALES.]- The idea is that nobody will be offended and this will be your 1st step to policy implementation]]. Belive in 1 thing- nobody will throw you out of the job/nor can anyone complain that you asked for a mail. So YOU GET A REQUIREMENT FOR A JOB POSITON. Next step is you check the database for prospective employees. Next Call Them. Next IN CASE NO SUITABLE CANDIDATE AVAILABLE, Go for FREE POSTING. Next Ask for reference.

B) You conduct a telephone interview. C) Ask the Department head for his/her availablility for Conducting interview.

C) Inform the candidate on the date and time of interview.

D) Prepare interview forms. ( marking sheet for the interviewer.) etc.

E) Once the interview is done, inform the candidate on the feedback.

F) Send an interview report to all the authority.( The person who conducted the interview will feel that he is an important part in the process implementation if you do so. This is psychology. Later he will be a part of your process implementation team).

G) If the candidate is selected, CONGRATULATIONS!!!!! to you , you were successful in implementing one process.

POINT NO. Z) The points I wrote as 1,2,3 and A),B), C).. Take a print out. File it in Recruitment process sub file.

------------------------------------------------------------------------------------------------------------------------------------------------------

Now if the answer to the question that If the decision maker has asked you to implement any changes and if the answer is no !!!! and you out of the blue are feeling that it is your responsibility to make the world the right place for the people... Then I wish you all the best.!!!! Believe in yourself just wait for the right company. Else you will end up frustrated and this will slowly eat up your career. So be careful. ALL THE BEST!!!!!!!
