Dear HR Experts,:(:(
We came across cases where employees who are entitled for company's mobile phone are leaving the organization due to retirement, resignation, etc... without returning mobile back to the company.
All HR units in operating fields were requested by Employee Relations Manager to makes sure that company's mobiles are returned back before approving the payment of final settlement.
My concerns as follow:
  • How can we tackle this issue?
  • Who is responsible to track all employees who are leaving and keeping mobile phones with them?
  • Is there any existing policy regarding mobile phone usage agreement that you can share?
This is to remind you that I have posted so many issues and unfortunately no response from the experts.
I would apprecaite immediate response from the HR expert

There must be policy for Mobile handset usage policy presented at the time of agreement to bound employees from the date of joining and duly signed by them to make sure of its usage and return terms and conditions.

Most of the Organizations have "Clearance Form" for employees leaving or retiring from the organization. You can use clearance form by stating the Check List for different items those have been given at the time of joining. this could include (i.e. work station , laptop , mobile handset , vehicles any other company property ) directly or indirectly.
