Would like to know the format of letter to be sent to few very senior employees who themselves mark their attendance records incorrect in order to take the benefit for full months pay without cut offs.
Scenerio - We have punch card system where in the In-time and out Time is been recorded in the system and after 11:00 am its considered half day the person who is reponsible for checking the attendance records marks incorrect attendance for himself but the track for some days is been observed by some of our employees where in it shows that he has corrected attendance records for himself now considereing the seniority of his position i would like to send a letter from accounts dept for his misconduct without mentioning the name of the persons who have observd this,
plz mail me the format on with some good phrase

Dear Rina,
I understand ur problem. A letter will not work in this regard.
Do one onething mark a mail to all who invovled in it & CC to UR Deppt. Head.
Discuss the issue. Ideally ur Department head should mark the mail.
Next best alternative is , immediately arrange a small training session pertaining to HR policies.
Make sure if same cannot be repeated again.
