Hi Rajasekar, Can you explain me about the mail merger option. How do I go about it and what are the steps.
4th March 2009 From India, Bangalore
Mail merge is option where you can merge the word file and excel file. You just have your salary structure format in word file and using mail merger import datas from the excel file.

Let me try explaining the step by step process of Mail Merge...

1 - Form a template in a word document.

Example: Dear Mr. Name, Your employee number is: Emp No, You would be earning a CTC of: CTC

2 - Open an Excel Sheet which contains the information for all the MS word fields: Example:
Name Emp No CTC
ABC 123 10,000
CCC 458 20,000
SSS 666 15,000 and so on

3 - In word click on Tools - Letters and Mailings - Mail merge wizard. A screen will pop up on you word document showing Mail Merge heading.

4 - On bottom right corner you will find "Starting document" link which will be colored in Blue. Click on the link. You will be directed to "Select recipients" link. Click on "select recipients" You will next be directed to " Browse" link.

5 - Click on "Browse" it will ask you to select the document to which you need to merge. Select the data source. you need to select the Sheet number in which your main data is stored. Click "Ok" Minimise tehe Excel sheet. and open the word document.

6 - In word document select the word "name" Example: Dear "name" and select on insert merge field icon (you can find the icon in MAil merge toolbar). as soon as you click the icon you will get a window which will ask you to choose the field for which you need to merge.

7 - Select the appropriate field and click on Insert button.

8 - Then close.

Similarly for Emp No and CTC. after finishing the entire process you can view the final results when you click on "view merged data" icon

I hope i have explained Mail merge in brief. Let me know if you find any hurdles while merging the document.

I agree with some who say that this is not worth wasting time.
All I would say is, Friends, let us not forgo our exploratory streak. Solutions are available in MS Office in the form of Help (F1). Let us explore.
Actually, the payslip should be designed in MS Word and the data should be fetched in using Mail Merge. You can even put the company logo / other graphics / Some good quotes in the header / footer.
Try it out, it is very easy and time saving.

Mail Merge is good; but for a beginner sometimes the formatting is difficult. You have to remember what format you have in the excel sheet does not show itself in word. For one who loves to experiment, there is much to explore. If we do not have a HRMS system: Mail merge is a good option to print all kinds of letters using one singe template, so that there is not much data duplication.

Vlookup() command in excel is the simplest for a small company. It is not at all complicated. And for payslips it is the best option. Once again you do not have to store two different files. You can use sheet1 for source data and sheet 2 for the Payslip format.

Keep asking any amount of questions you like and please do not get discouraged by people who say 'it is a waste of time'

Open your Word Document
Choose Main Menu -> Tools - > Letters and Mailings
After enabling Letters and Mailings, you can use its tool bar, then try to use these buttons one by one that will lead you to select the fields whichever to be displayed in your document.
After selecting necessary fields, <<< ABC>> that will make the link to fetch out the data from your excel and and display it word in the specified positions.
It is so easy process, you can make it. Do it then you will get it.
