Our GM has asked all departments to find practical cost saving solutions relevant to our function. He doesn't mean energy saving or stationary / supplies saving etc...
He would like our department to come up with 5 - 10 practical ideas on how HR function can implement cost saving in its day-to-day role. I would appreciate any good suggestions. Many thanks!

First of all you analyse the areas where money is spent lavisly (Transport, Canteen, House Keeping, Parties etc).
You could also concentrate on areas such as training & development where you could use your internal talents. As far as recruitment is concerned, internal capacity utilisation will improve the situation.
If scrap is under the controls of HR Dept pay concentration on that area. It is where one could save lump sum.

in short why increase workload on employees ??? and increase their stress levels , medicine expenses. Greater responsibility means staying more late. Why why why why
always remember there is limit for everything, tell your boss the limit is over, either offer to cut his pay that is last option.

Reduce recruitment cost
Reduce over head admin expenditure
Reduce HR operations cost by managing HR operations, by removing repetitive work
Coordinate with other departments especially IT department for finding out effective way of cost reduction in their respective functions.
Look for alternative and substitute to all costly but important inventory/process/procedure

You all are aware about current Turmoil in the business globally. some series of steps to ensue that:
1. Our inventory is not blocked.(i.e., We should excess inventory)
2. Restriction on capital purchase and on new Recruitment of employee.
3. Strict control on Overtime and unwanted expenditure.
4. Employee output must be 100%.
5. Revision in Sales targets and steps to increase sale of Finished goods.

Cost saving can be done on following points:

1.On transport - Reduction of trips can be considered.
2.On conveyance - Since petrol prices have come down, the Car/Bike charges can be reduced in line with reduction in fuel prices.
3.Telephone/Mobile/Mobile Handset - Limit of expenses for the call & new handset can be reviewed.
4.Cost of medicines can be reduced by way of avoiding vitamin pills, digestive pill or balm - it can be avoided.
5.Uniform/shoes - periodicity can be changed.
6.Cost of stationery can be reviewed, can go for some cheaper quality.
7.Recruitment can be done on referral basis, if possible. Consultancy charges can be renegotiated.
8.Cut on training expenditure.
9.Not limit yourself to your entitlement & wherever necessary spend on actual or bottom level of grade.
10.Printing may be done on draft mode instead of standard that way we can save consumption of ink.
11.Try to send ordinary mail through postal department only and not through courier service.
12.Control on wastage of material, kindle awareness of optimum usage of provided material among your employees.
13.Cut on tea & coffee.
14.Control on printing - only necessary print out is taken.

If we go by the above suggested points, I hope it will certainly bring down monthly expenses to some extent.

Dear All,
U can save cost by following ways :
1. Proper & controlled vehicle movement, try to make trips with proper planning, gathering use of vehicles.
2. Proper utiliosation of stationary.
3. proper utilisation of manpower, control O.T.
4. Telephone & Mobile expenses can be redused by changing in plans (minimum monthly rent, Minimum STD rates,Certain Free calls in plans,), Using emails insted of Fax.
5. Recruitment - Development of internal sources, promotions, treansfers, recruitment of lower categories, recruitmet by references.
6. This is the time to negitiate with the AMC vendors.

Here's some suggestions that may come in handy:

1. Reduce recruitment/hiring costs - Do away with expensive subscription to job portals, recruitment consultants, media advert. releases. Try referral hiring, invite word-of-mouth cold applicants, free job ads, industry networking, etc. These will reduce cost. Perhaps classified advt releases in portal/print media may be yielding and cost effective.

2. Training & Devp - Focus on internal/in-house training/skilling/multi-skilling. Develop or empanel internal experts/experienced personnel as faculty for periodic delivery. Schedule calendar of programmes or need-based programmes and establish/install procedure for post-training evaluation of training effectiveness/impact on productivity studies.

3. Internalize outsourced HR processes, if any (such as payroll, leave management, employee healthcare insurance, statutory compliance, etc). That will reduce cost.

4. Review internal accountabilities & workload across functions. Given more/multiple responsibilities through HODs; multi-task guys, even cross-functionally if possible. That'll save on costs and perhaps also motivate a lot of people within.

5. Do effective manpower planning. Re-allocate people across functions/tasks. Form special tasks for special projects like cost-cutting committee, if any, given the current state of the economy. Review with department heads the headcount in each department, analyse workload (current & forecastable) and proceed to rightsize, downsize (hard decision though) or upsize in some odd function, if need be. Arrive at a optimal headcount level to save precious money. Factor in attrition, superannuations, anticipated resignations, et al.

In the process, also review work allocation within the HR department. Optimize and internalize processes as much as possible. Keep busy and keep others busy with meaningful tasks.
