Hi,
i am working ina small size software company , i am responsible forlooking after the hr and administration of my company ,
Now the problemis people here dont reallyseem to give me or my post any importance, they still have the tendency to run to my boss ( who is a director) for every small things , eg-- permission for half a day's leave etc.......
i dont know why this is happening , though ,,my boss has told them that it is now al the administration job will b looked after by me ,
is it because i m youngr to them,.....
or because they are all freshers , working here 4 last 2-3 years and is used to this environment , i really dont know ....
plzz help

Hi Priyanka,
In this matter you need to talk to your boss that since you are the incharge of all the hr and admin activities..your boss should not entertain employees regarding it..he must strictly tell them that they need to approach you regarding these matters..
After few days everybody will realise your importance as well as your need...So pls do talk to your Boss and make things clear before they go out of your hand.

You must be new entrent and learner stage and had verly little experience to handle such situation. For example if you are empowered to sanction leaves what will you do?
If you start sanction may that result in employees on leave while their services are needed most, then you will be fired....
First you have to understand your organization and your position and limitation as well. Your all desires are not justified just because you are HR officer. Because you are there to improve the efficiency and effectiveness you cannot deny leaves to employees you will be in soup once you are empowered for leave sanction authority.
Lets, begin with small small issues of administrative nature first and gradually once you get command on all processes of business of various business lines you will automatically find yourself negotiating same issues because you have to grow and improve gradually.

Dear Priyanka,
This usually happens since the people are on their comfort zone and I believe that either you or the department is new to the organization. The transformation of the roles and procedures need to take place and i am sure that this would take its own time. In the mean while you might educate the employees regarding the reporting structure or you formulated a structured policy on the reporting structure and circulate to the employees with prior approval of your superiors.
There might also be some misunderstanding by the employees that they might be questioned if his leave is not informed to the boss. Even at those case, you shall need to build a trust among the employees that you are the one who is responsible for granting the leaves.... (You shall also ask the boss to keep the employees posted regarding the procedure for applying Leave). And remember "Rome is not built in a day".. You need to wait until the complete transformation would take place

Hi Priyanka,
I would suggest that call all your employee one day and ask them that what is the problem they are facing in informing you regarding their leave.Secondly would like to know that is there any policy document in the company and in case its not there u need to create one.Hope by talking to them...you would be able to solve the problem...

When a company has low trust between you and employees, unclear policies and objectives, and poor systems for making decisions, office politics becomes the way that it gets things done. This is often harmful for the company.

HR problems come up that don't have quick and easy answers. The standard solutions you have been taught or read about don't seem to work. You feel stuck, like someone whose car has stalled in a strange part of town during mid-night.

There is the mistaken idea that just being around "the people who count" is enough. If you are not competent, it just gives others a chance to see that you are not. "Competence," by the way, means both being competent at the work you do and being competent at dealing with others.

No matter how much people see you and your competence, it won't work unless you are someone they can depend on. This means both that they can trust the truth of what you say and that they can trust that you'll do what you say.

Go and talk to your boss, please don't sign but instruct them to go over you, whenever the employee comes to him again. Don't complain about others why always go to boss - work on your own and rectify the internal policy. Develop a reputation as a good HR Administrator with good interpersonal skills, and you'll develop influence with others and handle it well.

thanks a lot , guys ,
i will definately ask my boss to circulate the reporting stucture , the problem is that there are some very seniour employee who is kind of "tera"... who only cares about my boss and think s every one else can go to hell ,
since they are the back bone boss also does not want to offend them , to the extent of them leaving the job,
can you guys suggest me something else , as to what can i do in the mean time ,
honestly this department is new in the organisation, guys i am afraid my baoss after some days might also think on thier lines ........

Create some HR formats,get approval from concerned person ,standarize it & communicate it to all your employees.Even in leave or permission slip print authorized by & approved by.By this way all employees will turn to you & you need not surpass your boss also as he can approve whatever you have authorised.Instead of thinking why it is not being done think how can you get it done.Dont just think HR is a post to look forward for permission alone.Build a rappo with employees.Spend time with them.Many times employees lack proper guidlines or proper communication so be clear in whatever you are doing.

i have read ur problem, this is a situation of failure of the boss who has delegated the authority to u but is not able to convey it properly to rest of the staff as well as the seniors . You have to handle the situation patiently and as u said every one listen to ur boss it is ur boss only who can improve the situations for u and in the meantime u try to develop good relationships with the employees in other words try to be friends with them and with a smile :icon1: polietly tell them not to go to the boss for ur work as he is a busy person and should not be disturbed for issues like leave application's etc. .i wish this kind of approach would improve ur position in ur organisatuion.

this is a generally happen in a small organisation where HR dept. is new to them. so first thing is you have to talk with your boss about that and second is you make a format of leave application in that mention HR/Admin verification there your sign is to be need and employees availed leaves you are to be filed .
first you verified by sign and mention his/her balance leave and then go to a boss for sanctionong a leave means they are automatically come on you.
it is middle way for a starting a habit to all in that you are not sanctionong a leave. just check it out
