ear all i m working in a telecom vendor company having around 1800 employees, who are working across India. i m taking care of salary and attendance there.
My problem is that there are no authentic way to collect the attendance from all projects. many employees are technician there, can not work on time sheets because they are not aware of Email and computer. their team leader who all are engineers are also unable to do the same because there is no fix team for the month. one technician who is in Pune today with one engineer might be at Shimla with some other engineer next week. moreover there are 50% possibilities that the technician would not be reachable to contact on mobile many time because of n/w problem. so how to collect acurate attendance.

currently we have a tele calling team which trace them and take the reporting but it is not authentic at all.
at the time of salary it becomes very difficult to manage them if someone's attendance are less.

one more thing we do not use any software for this working ..... please suggest what to do ?

You problem of L& A are many and you are unable to find a solution. A solution can be sought only if you have a strict implementation of certain rules and of course there can be exceptions.

Make it mandatory for all technicians to send an SMS on one single number with the date, time, place, nature of work. Everyone has a mobile today therefore this should not be an issure. Devise an SMS format for the same. Hire a person internally to look after this activity.

Also as you mentioned there are time sheets available with the Team Leaders. Let them maintain this as well. The person hired can colate this date and tally it with the SMS.

In addition, today most manufacturing units or telecom service providers have a thump impression, swipe card, etc attendance system. You can implement this as well atleast for a selected few employees who do not travel often.

The probelm is not so large as you mentioned. With streamlining everything could work out smoothly.

Also today you have external agencies managing end to end of L&A. You could seen their assistance as well.

A software wouldnt be of much use since you just mentioned that they are not computer savy. Of course a software would definitely help your HR team.

Your problem is typical of all manufacturing units specially those involved in projects which are spread across the nation.
To enable you to deal with these issues, you need to have set HR policies which are communicated to all departments and workers.
In case of leave monitoring make the team leaders/ engineers/managers responsible for collecting this data and mailing it to you by the month end. In case they are based out of the city their claims should be settled only after their attendance data is sanctioned by their supervisor/manager.

It is the Genuine problem for marketing and touring job profile organisations.

Suggesation of SMS is one, but practically sound not to handle easily. May be i am wrong...

I hope if you are 1800 empolyees organisation, you must have Lotus Notes, or web site for e-mails and such kind of system for employees. There many of linked Tour Programme and Travel Request and Leave and Reimbursement and perks etc, are genearlly linked with each employees logind ID.

If any body is going for any tour must fill the request/programme ob local web. If tour is out of office, or extended tour, this can be operate outside on any cybercafe also. There are provisions for designation wise tour programme approval by just reporting authority. The reimbursement of travel and tour must be against this online approved tour programme / travel request. So everybody will take interest also to get the money of tour.

Leaves are generally online system so all the monthly attendence are calculated automatically. When employees are in the office or their locations all the computerised punching can be linked to that. I think if you deal with your ISD/ IT person with consultant in time attendane and local web connect. You can find the details.

Online Local Web Connect for individuals must be followed strictly, to get the better results.
