Hi All, Plz suggest do we need to reduce the weekends (52 saturdays + 52 sundays) from the calendar year while calculating the leaves on prorata basis.i.e (No. of leaves/261). Or it has to be (no. of leaves/365) ? Plz suggest. Rgds, Monika

I actually dint understand what is ur query but let me explain u since u mentioned something about pro rata... There are different types of Leave called Sick leave / Casual Leave / Privilege Leave etc.. Let say if you have allotted 21 days as CL for an year then on prorata basis u have to divide the whole leave by 12 months i.e 21/12 = 1.75 leave per month sameway goes for SL / PL also. Leave available would be Number of Months * 1.75. I hope i clarified ur query

Hi Pratima, Thanks for the reply. While going through citehr I found that to calculate the Leaves on pro rata basis we need to divide the total number of leaves alloted, by the total number of days i.e 21/365. Thats why I was wondering whether we should remove the weekends (ours being an IT firm and we have weekends off) i.e should we use 21/261 instead of 21/365. But you told me that we divide total leaves by number of months. i.e 21/12. m confused now :( Rgds, Monika

There is nothing to get confused. its the best way of calculating leave on prorate. I have no idea on what basis they have divided like that. I cannot comment on that until and unless i know for what they have done that way. As of now u follow the simple way.To divide the leave on prorata basis u dont have to deduct weekly off and govt holidays.

Dear Seniors,

I have a query with regards to Pro rata calculation of leaves:

Currently in our organization, no. of PLs = 24. (2 leave per month - April to March ) and an employee is eligible for PL only after 1 year from DOJ and leave is credited to employee account on pro rata basis.

Consider the following Scenario:

Suppose an employee is joining in the month of August 2010, he will be eligible for PL in Aug 2011.

As per pro rata basis, no. of PL will be = 16 (8months from DOJ * 2 (Leaves per month)

So 16 leaves will be added in the month of Aug 2011.

My query is: what about the leaves for the year 2011 - 2012? when does leave for year 2011 - 2012 get credited to employee account?

At the beginning of the year i.e. April 2011 or after the end i.e. April 2012?

Since PL means earned leave and an an employee has to earn those leaves by working throughout the year, so should it get credited at the end of the year when the employee has completed working for that year?

Request you all to please provide a justifiable answer to the above question... Looking forward to you coordination & support.

Hi :
I think the leaves for the current year should be credited on a monthly basis since they are earned leave. Hence you should also credit 16 + leave of the period April till Aug and then regularise from next payroll.
