Hi all,
I am working in a manufacturing company and we are planning to organise Annual day of the company in December. We have around 1500 employees. We are doing this kind of event first time and hope to continue every year.
We are planning to keep various competitions for employees which will be conducted pre-event and prizes will be given away on the Annual day. we are also planning to felicitate employees who are good performers, who have completed certain number of years with the company etc.
I would appreciate if you all could give me suggestions & guidelines to conduct this type of event. Also if you could guide me on how to create excitement in employees about this event.

Hi Madhu,

Since you have identified the date, use backwad planning to plan and manage the event. Take into consideration some of the following points:
1) Purpose: felicitation, awards, get together, sharing thoughts for the year ahed, highlighting the year that went by etc. Decide on these or some other objectives ti be covered.

2) Budget: You need to decide the budget and accordingly book a venue to hold so many people in case all are invited. If family/friends are also invited budget for the same. maybe if your budget is tight you can hold the finale for your department heads and executives. The worker staff can participate in preparatory events.

3) Agenda: Plan the event as per your objectives and fix the agenda. Share the agenda with department heads in a staff meeting to invite suggestions. This will build team spirit among key players. Allocate responsibility as per interest and ability.

4) Communicate: Use posters, newsletters, mails etc to spread the word. Do a lot fo small activities before the event to build interest and sustain it till December.

5) Deliver: Use all your resources to deliver the best results. If its a major event outsource it to a company to make it hassle free and professional.

Ideas: Cricket match, movie screening, team games, football match, painting/rangoli (in case of women employees) competition, dream team/company (use this to get them to imagine what their dream team or company would look like), t shirt painting, treasure hunt (on company premises), pottery making competition etc. These can be used for the workers as well.
