MIS and its Importance

If the labor that goes into the MIS should be worth the while, the MIS should turn out all the information that is needed for decision making. It must come to the decision makers in the manner and form in which they need it and at the time they need it. When the MIS is designed and operated in the right way, it is absolutely possible for the system to meet the entire information needs of the marketing decisions makers. With the recent progress in the IT field, practically any kind of information output / report that is needed for marketing decisions can be made available by the MIS.
The goals of an ideal MIS are to relieve management from converting data into information, provide relevant information to each management level for effective decision-making and the effective conduct of the job function, and present information that is current and in a readily usable and easily understood format. To meet these goals the MIS would posses the following attributes.
MIS would address the primary needs of the management function and not the needs of a person, the underlying problem, not just the symptoms.
It would present a maximum of information and a minimum of data which must be reliable and the output would contain sufficient and relevant information to minimize uncertainly in a format that can be easily understood and be usable without further modification.
Stages of MIS development:
1. Strategic and projects planning stage.
2. Conceptual system design stage.
3. Detailed system design stage.
4. Implementation, evaluation and maintenance stage.
An effective design is made possible when the user of the information should be included on the design team. Cost of money and time of the system should be taken into account, and match them with the benefits derived from the system. Importance should be given to relevance and selectivity over sheer quantity. The system should be tested before it is installed. Adequate training and documentation should be provided for the operations and users of the system. Information should be disaggregated and similar decisions should be aggregated. The actual mechanical methods for information processing are designed and controls for the system developed. The decisions system must be thoroughly analyzed.
The outputs/reports emanating from the MIS can be classified into the following four categories:
1. Periodic reports
2.Triggered reports
3.Demand reports
4.Plan reports
  • Periodic reports are presented in predetermined formats at specified intervals of time. They are the normal outputs of any data processing system.
  • Triggered reports are reports ion specific situation. By their very nature, the marketing task and the, marketing decisions require a host of triggered reports on various situations and subjects. In fact, the competence of the MIS gets tested by its capacity to give the right triggered reports.
  • Demand reports are the answers provided by the system to specific queries raised by the marketing decision makers.
  • And planned reports are reports tailor made for assisting formulation of sales forecasts, sales plans, distribution plans, facilities plans and sales budgets.
MIS also develops specialized database on different aspects of marketing
Customer database is one such specialized database. We saw that companies engaged in direct marketing, especially in catalogue selling and mail order marketing, rely heavily on customer databases Apart from the basic information about name, address and other demographic details, data pertaining to what an individual customer has bought, when the past purchase was made and other similar details are available in this database. They also provide the RFM (Recently, Frequency and Monetary) formula, which, in turn helps the firm arrive at a customer index that shows which customers are more profitable for the firm. The MIS can take care of the customer database. —

Hi,
MIS is a tool through wich Top management can find & Analyse about the organisations strength, weakness, Threats, lacking, loss, gain etc and set/redifine their strategy for overall organisational objective.
But only seeing the MIS will never solve the purpose of the same. Its beter to go in processes where was the fault/problems by which we have not done the performance.
Besically it tells about every thing if we take positively. It could be short/long. Like Engineering industry it could be more than 100-150 slodes, which gives direction of the company , where we stand at this stage.

MIS is management information system. The traditional mangement information system where basically data generated out of Financial accounting system. But gradually the realisation has come that if the Managment Information system has to be effective then the organisation should start looking at the information which gives alert on time whether the financial results will be in line with the objective or not. Many organisations have started a comprehensive score card system for each unit as well as for the organisation . The perfomance is being monitored periodically to ensure the company is on track towards the achievement of its long term as well as short term objectives.
The score card for each unit is a set of measures which the unit/department/team should meet or exceed to ensure that the company or the organization achieve its strategic ,financial and market place objectives.
The process of periodic evaluation is also to ensure that the score card measures are remains upto date with the current objective of the company.
In my opinion MIS is more about presenting the perfromance vis a vis the objectives as set out in the score card of the unit/department/team as well as that of the company. I am of the opinion that all information and measures are not of equal importance or relevance at any particular point of time . It means that the company should watch its performance only vis a vis the measures/metrics which are relevant for meeting its current startegic objective. Hence any MIS effective MIS should address this issue. Another very important requirement of an MIS is that it should be on time otherwise it looses relevance.

Hey P Ramakrishnan! Our records show that you haven't posted in a long time - it would be great to hear what you have to say about the various issues being raised here. Hope to hear from you on the forum soon.

My response to above auto message is as follows:
- Right now i learn from the group
-MIS in fact is a big subject related to each function to support each function's decision making
- each function's decisions are collectively support organization's decision making
-From the management of organization's perspective if we have to adopt scientific method of management by deploying certain principles like planning , budgeting, monitoring & sustaining with improvement, then MIS act as an art.
-MIS complement the priciple of scientif method. In other words we can practice management principle effectively based on MIS output as most of the organization face various dynamics depends on customer behaviour or economic behaviour.
-MIS can be from any ERP system based on the finacials workflow and not necessary it needs to be prepared by any individuals, except for some alignment to format and / or for any micro details where ERP is not connected.

Thanks
P.Ramakrishnan

Manpower planing depends on the type of industry. If IT industry then it needs to be driven by Project,if R&D then it needs to be driven by modality or R&D group.Based on these basics you can use a simple excel template with current Head count along with attrition and additions by month and by projects or by group
