Hello,
I want to write a letter to employee that their relatives are not allowed inside office. They have to sit in the reception area.
I want to write this letter on professional way.
Kindly help me regarding this.

Dear Employees,

To safeguard the company property and restrict unauthorized entry inside the office premises a “Visitors-Premise Access Policy” needs to be followed strictly w.e.f ….(date)...This guideline applies to all employees of the company. All locations of the company are covered by these guidelines.

The purpose of the document is to provide guidance for Visitors to company premises, as well as for employees sponsoring Visitors.

Key Guidelines are as follows -

-Visitors are encouraged to use designated Visitor Parking spots

- Visitors must arrive at a designated Check-In entrance (the main reception desk)

- The Reception Desk shall issue to every Visitor a card with V written on it

- Visitor Badges must be worn at all time & has to return the card while leaving the office premises

- Check-In / Check-Out procedure is a duty of the main Reception Desk

- Visitors must be met by their employee sponsor at the time of Check-In

- Visitors will not be allowed to go to any Department other than the permitted one. It shall be the responsibility of the concerned to escort the visitor back to the reception.

- Visitor electronics (laptops, other computer equipment, cell phones, etc.) will be checked in as described in the Laptop, Computer and Related Equipment Check-In / Check-Out Procedure.

- Visitors are not permitted to take photographs inside Company premises

- Visitors will check out at the same station where they arrived.
