I am working in a Software Company into HR (recruitments) and i require a format of Offer letter so that i can convey the msg to my candidates that they are selected and they need to join on the below mentioned date.

Dear Ms. Puja,

With reference to your application and the subsequent interview you had with us on 21.08.2007, the Management is pleased to offer you employment with CSR Infotech under the following terms and conditions.

1. You will be appointed as “System Administrator” from the date you are joining with us.

2. You will be on probation for a period of one year from the date you are joining.

3. During the said probationary period, you shall be paid basic salary and other allowances as under:

4. You will be required to contribute 12% on your basic salary to the Employees Provident Fund Contribution. The Company will also contribute the same percentage towards Provident Fund.

5. You will be entitled for 3 days leave per every completed month of service. Accumulation and encashment of leave will be as per company rules in force from time to time.

6. Kindly note that for the purpose of computation of Provident Fund, Leave Encashment and Bonus, only the Basic salary will be reckoned and no other allowance (in whatever name it is called, including Conveyance, House Rent Allowance) will be included.

7. You will not be eligible for any allowances / payment other than the above.

8. You will be governed by the rules and regulations of the company.

9. You will be governed by the various statutory obligations wherever applicable.

10. You are liable to be transferred to any other department of the Company/Associate companies anywhere in India.

11. You will be discharged at any time during the probationary period or on completion of your probationary period without assigning any reason if your performance in work or attendance or conduct is found not satisfactory, without giving any notice, notice pay or compensation.

12. Your employment will be subject to three-months notice or three months salary in lieu of such notice on either side.

13. You will be required to keep strictly confidential, both during your employment and thereafter, any matter of confidential nature acquired during your employment with us

14. Any discovery, invention, process or improvement made or discovered by you while in our service will have to be disclosed to us by you and such discovery, invention, process or improvement shall belong absolutely to and be the sole and absolute property of the company. If and when required to do so by the company, you shall at the company’s expenses take out or apply for letters patent, Licenses or other rights, privileges or protection as may be directed by us in respect of any such discovery, invention, process or improvement so that the benefit thereof shall accrue to us and you will execute and do all instruments, acts deeds and things which may be required by us for assigning, transferring or otherwise vesting the same and all benefits arising in respect thereof in our favour or such other person or persons, firms or companies as we may direct as the sole beneficiary thereof.

15. During the period of employment, you should not work directly or indirectly for any other person, firm or company, either with or without remuneration, nor should you engage yourself directly or indirectly in any trade or business connected with our company or any of our associate companies either as employer or partner or adviser or in any other capacity.

16. In consideration of the training given to you and in order to protect the confidentiality and the trade secrets considering the special nature of your employment and based on such knowledge gained by you during employment with us, it is expressly agreed that you will not take up employment either directly or indirectly in any industry engaged in the business involving similar product / servicing and or take up any consultancy work or set up independently any servicing centre to cater to the needs of the above business/service for a minimum period of 2 years from the date of cessation of your employment with us.

17. The salary package and other benefits given to you through this appointment order is a subject matter of solicitation and to be treated as highly confidential. You should not disclose them to any other person.

18. You have to produce the following documents at the time of reporting for training:

a.Three copies of your recent passport size photograph.

b.Two copies of post card size photo of yours with your parents / dependants

c.Photocopies of your certificates in support of your age and academic qualifications.

d.Medical fitness certificate obtained from a registered Medical Practitioner.

e.The relieving certificate received from your last employer.

If the above terms and conditions are acceptable to you, please sign and return the duplicate copy of this letter in token of your acceptance, so as to reach us within seven days from the date of receipt of this letter failing which your appointment will be treated as withdrawn.

With reference to your application and subsequent interview with us, we are pleased to appoint you as Designation in our organization on the following terms and conditions.

Date of Joining: You have joined us on 13th November 2006.

Salary: Your Annual Total Employment Cost to the company would be 1,9000(One Lakh Ninty thousand rupees only) the details of which is been given in the Annexure attached below.

Place/Transfer: Your present place of work will be at Place, but during the course of the service, you shall be liable to be posted / transferred anywhere to serve any of the Company's Projects or any other establishment in India or outside, at the sole discretion of the Management.

Probation/Confirmation: You will be on a Probation period for the Six months. Based on your performance your services will be confirmed with the company in written after six months.

During the probation period your services can be terminated with seven days notice on either side and without any reasons whatsoever. If your services are found satisfactory during the probation period, you will be confirmed in the present position and thereafter your services can be terminated on one month’s notice on either side.

During the period of your employment with the Company, you will devote full time to the work of the Company. 2. You will be required to maintain utmost secrecy in respect of Project documents, commercial offer, design documents, Project cost & Estimation, Technology, Software packages license, Company’s polices, Company’s patterns & Trade Mark and Company’s Human assets profile.

3. You will be required to comply with all such rules and regulations as the Company may frame from time to time.

4. Any of our technical or other important information which might come into your possession during the continuance of your service with us shall not be disclosed, divulged or made public by you even thereafter.

5. If at any time in our opinion, which is final in this matter you are found non- performer or guilty of fraud, dishonest, disobedience, disorderly behavior, negligence, indiscipline, absence from duty without permission or any other conduct considered by us deterrent to our interest or of violation of one or more terms of this letter, your services may be terminated without notice and on account of reason of any of the acts or omission the company shall be entitled to recover the damages from you.

6. You will not accept any present, commission or any sort of gratification in cash or kind from any person, party or firm or Company having dealing with the company and if you are offered any, you should immediately report the same to the Management.

7. This appointment letter is being issued to you on the basis of the information and particulars furnished by you in your application (including bio-data), at the time of your interview and subsequent discussions. If it transpires that you have made a false statement (or have not disclosed a material fact) resulting in your being offered this appointment, the Management may take such action as it deems fit in its sole discretion, including termination of your employment.

8. You will be responsible for safekeeping and return in good condition and order of all Company property, which may be in your use, custody or charge.
