Dear Sir,
Our Company is into manufacturing of Machinery.
We have started in India in the year 2009, we did not have any sort of travel policy. All the expenses made by the employees onsite/Sales visit, were redeemed on submission of vouchers.
Previously (Last year) we were having only 3-5 people onsite, their travel(by air) to home town where taken care by our company. Irrespective of their designation.
Now, we have more than 25+ employees, and we see some people misuse the relaxation given to them.
So I am formulating the Onsite Travel Policy for our Production and technical people.
Kindly suggest me in the following areas:
1. If an Employee is going on leave after 3 months of his stay in the site, the travel charges shall be by personal / by company
2. How about calculation of his no of working days ?
3. Shall We make a policy of compulsory off for an employee every 60/90 days who are onsite?
Note: I welcome the valuable suggestions and also the criticism that where I am wrong.

Our Company has completed 2 yrs of operation and Profit 5% , Turnover -7cr.
My clarifications are in blue
1. If an Employee is going on leave after 3 months of his stay in the site, the travel charges shall be by personal / by company - I thinks Managers first should be given priority than junior level person - Onsite we have our Managers and asst. engineers, who will be supervising the Installations. Now we have sorted this problem. Any Personal travel by employee for his leave or joining back to duty will be borne by him/her.
2. How about calculation of his no of working days ? - Question not clear - On site people will be at site round the clock, but Sundays there will be no work in progress. But they are claiming to consider Sundays as also working days.
3. Shall We make a policy of compulsory off for an employee every 60/90 days who are onsite? - Not Required ; otherwise everybody will ask as a right - Ya we have quit this idea
