Dear Seniors,
Would you please let me the importance of Ref No in Offer Letter & should Ref No changes with every new offer letter.
And what is the difference between Ref No & Employee Code.

The reference no. is purely for our office use and by the refeerence number you are able to identify / locate the concerned paper. Ex: Int(Mktg)/ 0022/032012. This relates to the interview lr of Marketing department organized in the month of March 2012 and the serial number of the candidate is 22.
The Employee code number is different from the reference number. the code number is related to the employee who joins after completion of all formalities and it is his identify wrt his employment in the industry and EC is the identity of the employee till he quits the employment in the organization.

It's advantages willbe:
when large numbe rof letters are issued in a day, all of them bear the same date and it will be difficult to know from a consolidated record like letters register whether a particular letter was issued.The reference number indicating name or place or subject makes it easily identifiable.

Having Reference no. in any letter (or for that matter in Offer Letter) is not mandatory; but for ease of keeping record, filing and referencing in future.
If your organization is small and you issue Offer Letter once in a while (say once a week, fortnight or month) then you can do away with reference No. and instead refer such letters/correspondence by the Date of issue of letter.

Dear Sir,
Reference no is important for each and every correpondent as it helps us to refer at a later stage. Whether our company is big or small, refer No is mandatory which will definitely help us in future.
In my experience what seems to be unimportant today will become important and required in future. Hence, don't belittle such important things while making correspondents with others.

Dear Pooja,
A Ref letter No - as conveyed by all our friends helps to track the same at a later date. The Alpha-numeric system is used normally. The ref no gives some idea to all concerned what the letter pertains to. It is individualized as per the organization or dept.
Even in a smaller organization it does help to bring about some order & system in place as far as correspondence is concerned.
I think you are also talking from a HR perspective - offer letter to prospective candidate can have some nomenclature in series - but this is totally as per your dept convenience.
Employee code, as mentioned by the others, pertains to a specific code allotted to the employee by the organization.

Ref No usually used to track the hard copy of the letter in which file it is. If you read office procedures book you will come to know how to assign File Numbers / Filing & Reference Numbers.

Mentioning reference number on any official document is important. When we handle large number of documents/letters, we keep them with reference numbers so that in future we find it easily. You have to mention Reference Number on the offer letter.

So far as offer letters are concerned, as HR, you want to know 1) for which post the offer letter hs been issued and to whom it was issued.Since a candidate's identity is linked to a place always, you can cite the abbreviated forms of place and post in the reference number.It shuld invariably reflect the name of teh department which issues such letter. If the filing of hard copies is made post wise, you can retreive them easily. For example you want toissue an offer letter to a candidate from Mumbai who is selected for the post of marketing executive on 10-3-2012, your refenece numnber and date on the offer letter shall be :
HR/Mum/mkt/1(indicative of serial no.of theletter) dated 10-03-12,
