Dear All,
Greetings for the day !
I am working as HR Executive in an organization (Automobile Showroom) in Goa with 30 people on roll.Our head office is in Pune and We have a branch in Goa.
We want to keep PF centralized but PF inspector is insisting us to take a subcode here in Goa.He has issued a letter also suggesting the same.Our PF is deducted every month and submitted by our head office in Pune.
How do we convince the PF INSPECTOR that our PF is centralized and it gets deducted every month.

Dear Trupti
Basically you are not committing any illegal activity. Hence dont worry. You may inform him that you have communicated to your Head Office and awaiting for the reply. Try to keep the matter hanging. The PF inspector will keep on insisting but dont get afraid since no illegal act is committed on your company's part.

Dear Trupti,
For centralized PF, it is necessary that you maintain records of PF deduction and deposit in your branch in Goa. So you must have copies the contribution deposit acknowledgement and other documents related to PF with you in Goa. You will have to present it to the local PF office there on regular basis as that is part of PF requirements. You will also have to get yourself inspected as per the prescribed period under law.
Once you start doing that, the PF Inspector will not be able to force anything on your company.

If your head office is taking care of PF deduction and remittances centrally at their place, it is not at all an issue. There are many organizations operate pan India and PF remittances and returns submited at one particular City. As long as you contribute to PF, there is no need for obtaining a separate code for your branch.
Ask your head office to send a copy of the challan every month to preserve it as your record in local office.

Dear Balaji and Gaurang,
I will maintain a copy of challan with me,apart from that I maintain attendance register and salary and wages register.kindly update me if i need to maintain anything else apart from these.

Dear all, having a centralised provident fund deduction is fine and would not create any problem but it is always advisable to have a sub code in the site if the work force crosses the 20 mark. Ideally speaking, it becomes convenient for everybody and the pf inspector would not disturb. Though it is not mandatory that crossing the number 20 would ask for a sub code but it is always good to have it.
