Dear Jhansi
Please collect all the employees day 1 application, interview call letter, interview details, remarks by the interviewers, offer of employment terms and conditions for employment, Appointment Order on completion of Probation period, their leave details, their appraisal details, promotion system and details, attendance details, salary details family details, passport details, PF account details, and whatever details required for the use of Staff and their welfare.
Please keep the records of all the above in respect of all the individuals working in your organisation as per your convenience. How you feel comfortable accordingly you make the filing system. If you maintain Staff file separately for every staff then it will be easy for you for future reference.
Simultaneously you have to main the records subjectwise too.
With warm regards

Hi Jhansi,
While collecting relevant documents, please rule out the possibility of dual employment. i.e., employee shall not join your company when he also working in other organisation. If in case he/she is on any service undertaking in earlier company, you may have some legal implications.
Most of the companies collect previous company's relieving and experience letters, last 3 months salary slips, form 16, pan card, passport copy, all education certificates.
File them in order with all other documents for easy retrieval.
Have a strong tracker for leave maintenance, as per the leave policy of your company, if in case, you do not have an online leave administration system.

Jhansi, instead of taking up a job in which u do not hv any idea or knowledge of basics, u shud hv opted for a job in which u hv good knowledge and exposure. This job cud hv gone to some other who knows the job and needs it. I am not in any way offending u but the fact is we hv some many capable and knowledgeable persons who are always on the look for a job.....
