Hi, please help me in drafting letter regarding maintaining the attendance register daily. problem is that employees of a company don’t make entry in attendance register daily. please reply
Please draft a letter saying that as per company policy it is required that all employees sign the attendance register.
Anyone not signing the register will be marked absent for that day.
Circulate the notice to all HOD's and put it up on the notice board with GM / CEO or HR manager signature.
This should do the trick. If not mark people absent they will start signing the register.
As per our company policy, attendence register entry on daily basis is mandatory. Non-compliance of entry will be viewed seriously and salary will be withheld for that period.
Importance of daily entry in register has been highlighted many a times to all employees in the past. Therefore, to ensure the same we are taking attendence register into consideration for payroll process with effect to Jan 03, 2011 as well as the withheld amount will not be refunded untill and unless supported by a valid reason.
Employees are requested to co-operate.
Please take a print of this letter on our company letter head. Get the letter reviewed and signed from the concerned head i.e either HR Manager / CEO / COO etc.,
Scan a copy of this letter and circulate to all the employees as well as maintain a copy of this letter in your notice board too.

i am sudha, attendence is mandatery to the company. every employee of the company daily enter his/her sign in the attendence regiser is very importent. because, as a hr person u have the responsibility are all enter theire sign in the attendence register or not? if i tell frankly all man minds are not a systems to remember daily who are attend and who are not attend to the company. if u donot identyfy this you face a problem when preparing a salary statement. not only sign, identyfy the employees timings also. are they follow company timings are not? if they recles company timings definitely they are not working correctly. if work is not happening correctly producing products and all works will be delay. then company will gain loss. attendence and panctuality is not a small matter. remember it. if every employee feel everything in the company as a responsibility then company growthing is extrordinary. lack of responsibility employees are not follow the panctuality and daily attendence.

Be bold enough and be tough for those defaulters. Take appropriate action against them by marking absent. Convey the same to all the HODs for nor marking their presence in office. If possible issue show cause notice to the concerned copy to Management.
Install Bio metric attendance system swipe card will be useful which will cost you maximum of Rs.25000/- only. Get it connected with system. It will automatically generate the Pay sheet also as per your inputs.
You will not worry much about it once you get it streamlined. Here only thing you have to observe is to monitor it properly for any missing details. Every fortnight have a thorough check of system.

I am working with Pharma Co. here many of our VP's are associated since the begining of the co., we were using attendance register for maintaining attendance till the level of Executive, but there was no record of senior.
As we have recently installed biometric attendance system, we want all employees and at all level to use the same.
Can i get help on drafting letter to senior for using biometric system for attendance., so that they don't get hurt and can understand the same for smooth functioning of Attendance system which is usefull at the time of salary and leave record updation.
