Our company is planning to start a new unit called Knowledge Transfer Unit. We are asked to make a presentation for the same for higher management for approval. Need your help for the same. Thanks,

Well we want our seniors and experienced staff those who will retire soon to impart their knowledge to juniors. I want some presentation on how this can be done to get approval from higher management.

There are different approaches that I would suggest:
  • Build departmental repository with an FAQ, beyond manuals, including all details that can allow even a remote employee to use the information without supervision.
  • Ask the members who are about to retire to build case studies on the escalations handled. No matter how small it is, the method to arrive at the solution is important to document. Video record the sessions by them , people learn more by seeing and ot just by reading. Make these videos available as a self learning tool.
  • Support that repository with a discussion forum and allocate knowledgeable employee with the responsibility to moderate and reply the query.
  • Arrange for seminar based on frequently faced problems and let the senior members address the attendees. Document everything that gets discussed. Before starting the session, make sure you are aware of the level of knowledge that you wish to build in. Identify an abled speaker to coordinate the session so that the desired result is achieved. Ideally, these sessions often boil down to complaint and cribbing, each time such a point raise, identify the problem and brainstorm the situation.
  • Request your employees who are about to retire, to act as a moderator or a knowledge consultant to this project. They would have the knowledge to support it coupled with time required to dedicate towards building this infrastructure.
  • Choose not just an offline but an online version to this. If it can’t be accessed through intranet , it might lose its utility. You may consider the Google documents if you don’t have an in-house database management. This wouldnt increase your costs. You may consider using CiteHR group with by invite access, for your external discussion forum. That would offer you security without raising any costs. You may follow the security system which is shared in Scribd's Terms and Policies. You can provide upload and view to your remote employees. This would allow them to access information but not download or save it . That ensures the information security within the organization. You may further consult your in-house IT Department for support on this. If you have a budget , do consider an elaborate data management system as a long term investment
