Hello,
I am new to this community i have some query. In our organization 1 employee has given the resignation. As mentioned in the appointment to give 1mths notice while leaving and he will have to hand over all the assigned work to the person who will be coming on his place.
It was also mentioned in the appointment letter that he will be given his HRA after completion of 6months.
I would be grateful if anybody can just send me a format of the letter which I can give to the concerned person.
Also please let me know whether this letter be on a Co.Companies letter head??

Hi Priya,
You can issue him a letter on the Co. letter head, however that will be done at a later stage.. have you decided on what terms you will be relieving him from your company. You will need to put your foot down and be firm lest this kind of a thing sets a precedent in your organisation.
Make sure he fulfills the conditions for a smooth exit & in any case if things are already explicitly mentioned in the appointment letter I don't think you even need to give him any thing more in writing.

Yes but then we thought that it would be better if this be in writing we made this letter does this looks fine.

Dear Mr.

You had approached ______ (hereinafter referred to as _____) for a suitable job opportunity.

On , 2007, you were appointed as a in the Company.

At the time of joining the company, certain documents were executed between you and ______ namely Appointment letter.

You were asked to read all the documents carefully before signing the same and upon vetting the documents you had accepted the Appointment letter.

You are very well aware that Co. had to train you in the field of Software Development / Software solutions sales for which Company had to incur heavy expenditure.

We received a letter from you on stating that you would like to resign from the company with immediate effect.

You were aware of the fact that the notice period was of 1 month, which was also clearly mentioned in the appointment letter and in spite of this you resigned from the company on an extremely short notice.??

Since your probation period of 6 months is not over, HRA retained every month will not be paid to you.

You were aware that such immediate resignation from the company would cause irreparable loss and damage to the company.
