Friends, Can someone suggest me significance of timesheets, I am asked to prepare with the help of dept heads. But before that, I want to know whether timesheets are prepared just to calculate the efficient utilization of work hours in terms of production for management to understand, or is it anyway going to be useful for the client who gives us the project. Kindly clear me.

Hi,
Time sheets are basically a document which certifies employee's presence at customer location and Finance raise the invoice based upon the approved time sheets. In general, time sheets are prepared on weekly basis, a simple excel sheet with employee name, Location, Time In, Time Out, Work Done, Employee signature, Customer signature. If the time sheet is not approved by the client or if there is any mistake then all chances that Finance may not be able to bill the resource to the client.

Time sheet is basically a document which certifies employee's presence working status, type of leave. Of course is to calculate the efficient utilizaton of work hours in terms of his/her ToC, SoW or ToR.

Time sheets must be prepared on weekly basis on a simple excel sheet which covers nam of employee, desigantion, level, Location, Time In, Time Out, Work Done on specific project/assignment

Let me give my experience

Number 1. In our office - we just punch our ID card in machine that shows log in & out. Time sheets must be prepared on weekly basis on a simple excel sheet which covers nam of employee, desigantion, level, Location, Time In, Time Out, Work Done on specific project/assignment

2. That data automatically saves in the system in daly basis.

2. On sunday we open the excel sheet in my PC where we pur my initial my name appear automatically. We just click three times (a) number of week, (b) Time to be record and (c) please save. That covers all even includs leave too. Its saves in the system automatically and Account/Finance depert and system manager deal with it. Employee or part time professional whoever it is does not have boter anything about.

Hi Anju,
We do have biometric system at office, which gives periodical ind reports and work hrs, but our management wants to know the work hrs and idle hours, we prepared a format for each dept with diff codes for work, and now i am getting timesheets with even idle hours also, whereas biometric software only can give work hours, my question is what after knowing the idle hours, whats the next step.....
PLEASE CLEAR ME, ITS DEFINITELY GOING TO BE USEFUL FOR OTHER FRIENDS OF OUR COMMUNITY.. SOMEONE HELP ON THIS.

Adding to the in time- out time of the employees. we also need to take the travel period into account if the employee is travelling on a business matter..but yes even for this there should be an approval from his reporting manager to enter into the time sheet.

Dear All,
Good Day. I am working as HR Manager of a small size (40 +) offshore development company. I am also having the same kind of issue in collecting the time sheets from employee in daily basis.
Can anyone please advice me with a template of time sheets to get effective results from employees.

Timesheets are useful in processes/ projects where the billing for the client is done on an hourly basis or number of fulltime employees plus 10% backup staff hired for the same.
costing for some processes is done on value addition eg legal/ financial matters.
per hour billing is handy for processses wherein transactions are just like commodity.
efficiency is the second part. for eg in BPO environment talk time, AHT, after call work, idle time etc are used to achieve higher levels of effieciency in varous ways.
eg depending on workflow patterns and forecasting, do manpower planning, number of shifts, start/ stop times, time of breaks etc.

Thank you Suryavrath, for a clear information on time sheets. can you forward me any template to calculate work hours... idle hours to chk the efficiency... iam also now asked to prepare competency, gap analysis, how would i do that, many friends helped with ppt's etc, but to startt with finding hard becoz project leaders are not very happy with this idea, ad are not seemed transparent, iam the only HR no one to discuss with..
If you pls dont mind can you give me your contact number.... ihave so many doubts, i am finding it hard working alone....pls help me.

i haven't got any ready templates as such since it is a number crunching process.

Excel is fair enough for most of the calculations.

your cos would be having some sort of reporting tool for analysing dialer info. check with the IT guys.

OPs guys would never be happy as the improvements which should idealy come from them, you would be more like an outsider pinpointing faults.

for starters, start with one single process only pref sales/ tech support, collection calls are too lengthy, check the call duration/ timings etc, plot results on a hourly level and display them on a notice board.

check the break timings/ duration etc. make people stick to the same.

check "First time resolution" in tech support (very imp) there is no point in having the customer call several times.

for sales ref to one major lacunae, people review every single completed sales. this is wrong as the sample size from quality point of view should not exceed 50%.

any type of monitoring is an expense ie every single QA guy is a cost in itself and the burden eats into the margins.

has your company ever done an end user satisfaction survey apart from client feedback. do a pareto on the customer requirements and start by fulfilling those.

people hate variance eg you as a customer of any bank wouldnt like if sometimes your statement reaches in 5 days and soimetimes in 15days.

any process with 100% results on any parameter requires imediate management intervention eg the transaction volumes are low.

Hi all,
Could anyone please let me know if there is any connection of time sheet with the Leaves or the leave policy???
If a company has an access card system, does HR require time sheet for attendence purpose?
OR if there is leave card for taking leaves and the analysis is regularly updated, does HR still require time sheet? Isn't this duplication of work for HR??
My Management wants to put Time sheet as HR's responsibility and I feel its not necessary as we have leave cards for leave tracking and access control for attendance tracking. I personally feel, apart from that time sheet only be used for hourly computation of the projects and that is the work of Project manager and not HR.
Please let me know if I am wrong or does time sheet have any other purpose for HR.
