| | | | help me for preparing a project completion letter Dear Seniors,
A very Goodmorning to all,
I am working as an HR Admin for a software firm in kerala.
One month back I hired a parttime temporary employee for a software project for one month duration.
Given all the agreement and contract to him.
Now he finishes the project successfully.
I need to give him a wriitten letter of acknowledgement of project completion and settlement of payment.
Kindly give me any samples if available.
Meanwhile I am searching in the internet . If I found I will let you know.
Please help me in preparing a project completion letter to the employee who finishes the project. Thanks And regards

| | | | Join Date: Nov 2009 Location: CHENNAI | | | For settlement of the payment take receipt from him, and a simple letter of payment mentioning find enclosed herewith cheque no @@@@@ for Rs.@@ dated dd/mm/yyyy as payment for the software project. Kindly acknowledge the receipt of the payment.
And for acknowledgement letter, you could either make it personally addressed to the employee or make it as a experience letter sort of addressed to whomsoever. | |

For example, you gave an employee such a letter stating in definitive "His potentials will prove to be a substantive asset to any establishment/organization...". Reading that statement, I hire this individual. As luck might have it, this individual goofs up in my company and I end up losing money/business etc. I would certainly take him/her to court for goofing up my business. But what are the chances of me suing your company for stating he will be an asset to any organization? Obviously, (s)he was successful in your organization, just as obviously, (s)he was not so successful in my organization (where (s)he was hired based on your recommendation letter. I am just playing the devil's advocate for a moment here. Wouldn't giving such definitive recommendation letters run the risk of being detrimental to the company in future? Wouldn't something in terms of the following be a better choice of words? "His/Her performance during the aforementioned period was satisfactory and met or exceeded the standards set by our organization. We wish him/her continued success in his/her future endeavors." Well I suppose you are not from India, I dont know the rules and regulations in your places, but going by your views even if I mention His/Her performance during the aforementioned period was satisfactory and met or exceeded the standards set by our organization. it is the same lines recommended by you,
So going by your views if the person does not perform well in your company, you can also sue my company that how come you wrote so good in experience letter, whereas in reality the person did not even perform upto the mark.
Look SAM,, these things are all above law, rules and regulations I performed well in my last company and got the same experience letter from my company, and in India no one will ever care to go and sue that the person who you recommended has goofed up.
While recruiting you should see the technical ability and access the person on his skills and the experience letter remains a mere proof that the person has worked in this company, and if you know, almost everyone gets the same experience letter, since I have worked as HR, all we used to do is change the name , department, and functions the lines appreciating about the employee remains the same, then be it a employee performing at LOW, NORMAL, or EXCEPTIONAL levels ,all get the same experience letter.
If going by your views, what about the names of persons whom the employee gives for reference, here in India companies demand around 2 -3 names of persons who can refer you, and the company calls those persons, these persons can be your colleagues, supervisors at work or your friends, having a decent job, position in society. So tomorrow if same person goofs up then can you sue those persons who gave reference of the employee. Atleast in India no one can even care to sue the previous employer for giving such recommendations.
Recommending which is done is similar to the one which we do for a product, like I had this employee he performed well and was good so I dont feel it harm to recommend him.
Sites like mouthshut.com have reviews on each and every product, from restaurants to toothpaste, malls, electronic goods etc, where people write their reviews and recommend or dont recommend a product so going by the reviews if you ever buy a product and it doesnt seem to work for you, will you sue all the n number of people who recommended it in mouthshut.com or some other reviewsite.
No sir, recommendations are just formalities, and the brand name speaks, obviously a person who has earlier done fraud in his earlier company will never get such type of experience letter, and once the employee has left the company, the liability of the previous employer is NIL. The recommendation is just a formality, and it is a common thing to use in experience letters, even if you wish him best of luck in future endeavours will not make any sense.
Even though what I have explained is too long and somewhat confusing , I want to tell you such things dont have any importance in legal sense, and to come to the point, even if you sue the company and the company justifies that since the employee was good at that time, we recommended him, and WHO CAN BE HELD RESPONSIBLE for SUDDEN CHANGES IN EMPLOYEES BEHAVIOUR , from a hardworking person to a fraud one , there are many circumstances, and just you cant hold previous employers responsible
To be frank, even if an employee breaks bond, not properly serves notice period you cant do much to him / her, atleast not in india, |
