Hi, Any suggestion on what are the proper actions shall be taken toward employee who always sick and have taken too many sick leaves? I have an employee who have at least 2~3 days sick leaves every month since starting job, what shall we do on it? Thank you. Best Regards, Fanny

Dear Fanny, When employee go for sick leave ask them for medical certificate. Talk to employee and ask him what is the issue and ask for medical certificate. Try to find out whether he is really sick or telling lie. If he is really suffering from any disease then whether he disclose to you at time of hiring or not. First collect all the facts and then take decision.

Dear Fanny, In the case of Sick Leave. It should be properly communicated to respective person(HR) in writting. Ecery sick leave should be supported by the medical certificate. it is as per law. In case of employees availing the sick leave very freqvently then you can ask the employee to produce treatment details certified by doctor. by this way you will have an idea how much time employee will take to recover. For authentication purpose of the certificates and reports, you can cross check with the doctor who had issued the certificate. In most of the companies in house or visiting doctors are there. If this is not the case with your company, you can hire a visiting doctor, who will check the certificates and other dcuments. By this you can ask the employees to first consult with the company's doctor and if he suggests then you can go for Sick leave. In case of faiure to produce the certificate, you can consider it as a unpaid leave. and if the unpaid leave is more than 10 a month without approval then you can terminate the employee. It is always a policy of new hiring that company should ask the medical checkup of the employee, to prevent this kind of activities. If you dont have such policy, you can amend it and ask the curret employees to go for medical check up. (charges should be bear by company). For taking action in this regards. You have to talk to employee in person. even if the same thing is continued, sen him / her a worring letter stating the issue and the policy against it. and you know what to do next if employee is on same track........

thanks you all. Eventually, i have talked to her and found she has a very serious migraine, and she always will have the medical certificates to support her sick leave, but it is too often in every month. This month she already taken 5 days of sick leaves. Is there any proper way or letter to give to her since i have talked and understand her condition, and she is still under probation period, this is her 2nd months. *Dear Sharma: what would be the content of warning shall be in this kind of case?

If the employee is able to evidence the sick leave by proper supporting document, and from the statements given, it is understood that the reason is genuine, even though repeated times the leave is availed. No "warning" will serve the purpose. The option could be to see if the employee is an asset to the organization, if so, proper counseling to be done to retain the employee and to make it clear the purpose of taking leave not to be repeated and the medical treatment may be given with company's assistance. When the company is caring for employee's welfare, then the employee would naturally tend to continue to work. There are corporate examples where they are really caring for employee, and no wonder lots of corporates are presently existing. KB

Employee took leave as she was sick. Later she informed that she was not going to report for duty, we had asked her to produce medical certificate for the same, but the certificate she provided was not relevant. Now we are planing to send a letter to her. What type of letter can we send to the employee?
