This is j.Rani .I am working as a HR -Executiv Poondicherry . We have an employee who completed his 60th year even still we want to retain him for his outstanding workperformance & coordination .So Can anyone help me the format of service Extension letter for him ?

Dear Friend,
If the company policy says that the retirement age is 60 better to proceed as per the company rules and complete the process and then if you and your management feel that he is a potential guy and still you need his services then take him as a consultant for a period of one year and then extend year on year.
By this act the liability of the company will reduce and he will also happy as he has to pay less income tax.
Once you happen to continue one person then there will be lot of expectations from the other employees also and you are giving a wrong message and hope to other employees. Instead clear his employment as per company rule and then take as consultant then it is the proragative of the management and no body can expect the same.

Thank you very much for your suggestion to appiont him as consultant .Though we had a discussion about this , our management still wants to extend his service in roll as he has rendered his loyal service for more than 21 years with us. So kindly help me with the Service Extension letter format .

No still I believe that you should insist the management to discontinue his services as a regular employee and hire him as a consultant.
Still you and your management is not for the consultant then, you should mention the details of the appointment letter and specifically spell out that even though as per the company policy you are to retire on ___________ after attaining the age of 6o considering your good work and the business requirement your employment with the company is extended for a period of -------- years ie up to ----------. The other terms and conditions remain unaltered.
