Dear All,
My boss had assigned me task to communicate company policies & procedures to entire organization with a deadline.
I cant go with PPT presentation, as it will brief nor through email guiding to read based on shared folders.
Above 2 options will not serve my purpose and I dont want to read everything and bore them.
Please share your ideas asap.

Pallavi,
You could have meetings with individual teams and brief them on the policies. Follow it up with a detailed mail and post the policies on the company intranet for everyone to view it.
You could also open up discussion forums for clarifications of the policies.

Hi Suja,
Thank you for your suggestion, we have 200 plus employees, conducting meeting will be problem and we have shared folder for an employee to view policies & procedures, but still they come to us with all kind of doubts.
My manager want me to make every employee well versed with P &P.
Is any other way I can work, please suggest.

Kindly utilize or initiate a intranet system in your organization and leverage it to dissipiate information.
Organized inductions and onboarding will help eliminate the knowledge gap!
Post appraisal with the issuing of revision letters you could yearly present a concise employee handbook.
As suja earleir suggested create platforms(friday events or roadshows) to dissipiate information.

u have to contact them in small groups of 10 employee, provide them catalog of company policies & procedure if possible, explain them about P&P the will give u much more advantage of interacting with them and explaining them. hopefully those 10 employees will help u to express your view to other employee. this u can start from canteen , lunch time or when they are free. Best of luck...

I hope you have the ready made material send out the mail and ask for a receipt or mail reply confirming the acceptance and ask them to come back with the Queries.You can use the ppt for the new joinee to appraise them about the policy

Hi Friends,
I am starting team presentation sessions in my organization. I have already sent the mail asking employees to form team and send me the names within a week.
Now I want to write a very ethusiatic and motivated notice on the notice board for the same. I want to make everybody feel that this is going to be a fun time and not burdensome.
Please help me with some good and motivated language and design for the same.

Hi Pallavi,
Meeting 200 people in groups wont be that difficult if all of them are available within same premises. I belive you need to be a efficient communicator, that your boss has enthrusted you with this assingment. From your post, I guess you may be a bit nervous about the enormity of the task, or you may not be extrovert by nature to reach out to people and explain to people in a language which may not be necessarily politicaly, grammatically correct, but if your audience can clearly understand what you want them to understand your perpose will be solved.
To begin with, ensure that you, yourself have very clear understanding of the policies and procedure of every subject that you need to express to your co workers, so that during the interaction, you can clear all the doubts of your audience without feeling the stress of it.

Once you are confident of the subject, Chalk out schedule over a period of 10-15 working days period , take out a general notice for people to attend the meeting on respective date, the meeting should not be more that 30-45 min duration. If your organisation feels you are eating out on man hours by conducting these meeting, you can take the management in confidence and ask the involved people to attend the meeting outside the working hours. I feel no body will object coming early or leaving late once.

Ensure that you have the entire material which you need to explain is given as a bookle to your audience after meeting, and also paste the meterial in a book and take signature of the person attending the meeting, stating that the policy and procedure mentioned here in this book has been explained to me and I have read and understood the same in totality.

I hope this will not only clear you as you will have evidence of the fact that you have explained the policy and procedure to your co worker, secondly they will have the back up to re read the meterial in the event of doubt.

Dont worry about the task, Just do it, because once you start you can finish it off. Just do it.Ho Jayega.

i think the same can be discussed in morning briefings / communication meetings.
if not possible, a 2-3 copies of all the pnp can be kept at library accesible to everyone.
u can hv a play / mona acting / skit to make them enjoyable learning.

Hi Pallavi,
As I understand you have already posted the P&P on the intranet of the company. What you can do is prepare FAQ's (Frequently asked Questions) for all the Policies. Make sure FAQ's included questions that the employees generally ask you which might be very simlpe one's too.upload it on the Intranet.
Another thing you can do is make a week long helpdesk.Each day mail to your emlpoyees these FAQ's for some 3 or four policies and ask them if any clarification is required they can come between some particular time and clarify their doubts.
This ways I guess... the employees wont mind reading 5 - 6 pages daily and getting updated also...you wont be bothered the whole day to answer them.
