Morning seniors Nd Friends
I need your help
Mine company is a engineering company in services, we have staff members who are staying late almost every day in office nd even comes to office on Off days. Due to which comapny is paying high on cabs, trasport and lot on monetary part . Now my management has decided to make some bounds or new policy to minimise this because of cost . MOST IMP WE DONT WANT TO START OVER TIME PLOICY IN COMPANY !!!!!!!!!!!!!!!
please please suggest what we can do

Hi, Payal
Such things are very difficult to stop. But you can give them Time Sheets to be prepared Daily and may be submitted weekely basis.Let them write what how much time they have spend on activaties in normal working hrs and additional working hours when they are sitting late. Then you can analyse time spent on each activity and really it was required with help of business heads. Try this may help in control over the cost.

Hello Payal,
You need to find out whether the people are overstaying due to additional work or due to additional benefits.
If its due to additional benefits then you can draw a time limit and stick to that strictly.
If its due to additional work then you can sit with the people and discuss how to cut down on time and finish off the work in given hours.
Despite this there may be some emergencies for which you may have to extend the time. For that special permission in Advance should be taken from Bosses.
SOME TIPS :
This is a delicate issue, so handle it diplomatically, since it might effect motivation of the workers. Best way is to discuss the issue with the concerned people and issue notification to all and then stick to the timings.

Thanks Harshad for your response but we are already making them fill time sheet that too in ERP format but than also its not control able even man power requried is also sufficient as we are the biggest comapny in Delhi NCR in services with such Man power. They are not the one who wishes to stay till late but its their immediate snior which have their own excuse for the same !!!!!!!!!!!!!!! thats the big problem ............

Prepare policy to cure late comers because Coming Late is also one of the Misconducts that effect org.'s productions and growth. You can put eg. coming at after 10.minuts for 3 days in a month wil be deduct a Half day. like-wise

even we had the same situation in our organisation.. the best way out is the make the functional heads responsible.. Start by asking employees to get an approval for late sitting, this approval slip must be submitted to Admin by 5pm every evening.. It should state the reason for late sitting, the expected time out and the managers signature.
just to let you know - We penalize employess who sit late without approval..

Hello Payal,

Mine problem is same as yours then only diffrence is mine is Financial firm.There are many ways of tackling the Late Sittings .one is to have virtual Aux Software install in the systems - Virtuyal Aux is the software which keeps an eye on the performance of employees ,say his productive hours Breaks hours.the moment employee log into his system he is required to log into the Virtual Aux and has to give which activity he is performing and for keeeping the eye whether he is performing that particular activity his Supervisor has controls in his systems to watch for the activity .Thus Virtual Aux keeps an eye on Productivity and efficiency of employee thus reducing the late siitings.
Second way to tackle the late sitings is to ensure that proper allocation of work is made by Supervisors as it has been observed in many organisation that one is roaming free here and there and other collegue is burdened with lots of work which he /she does only by having Late Sitings.

Third way to avoid late sittings is that rewards being announced for doing smart work like earlier the work has been done manually and now an employee has created a Macro to do that work in short span of time.

Fourth being that stop having Cab facilites and start Cab routes having diffrent slots like the cab wil move on 6.00PM ,8.00PM,10.00PM so that employee will not go by a separate Taxi but move in groups in one Cab

I feel if real people overstay due to genuine work then there are two issues to be tackled :-
1. Everyone needs to be on the same frequency as far as the timings are concerned which doesn't seem to be the case out here.
Different people are viewing it from different angles.
So if your top bosses agree then you can lay a cut off time and then say that no more additional benefits /allowances beyond this point and ensure it strictly.
Let people pay for their transportation for two days and then people will fall in line.
2. the other issue is that if you have to meet deadlines for which people have to work extra then why are you also putting pressure from the other side to cut down on timings or use of resources. THIS IS A MISMATCH between expectations from different branches within the company.
THIS PART DEFINITELY NEEDS RECONCILIATION.
please think over this aspect

You definitely needs the first level and second level maanger support to bring in any kinda change in this. Since sittiing late mostly driven by managers and sometimes their perosnal interest, it may be reverse too, but if manager is able to justify his team late sitting, you (HR) can not/should not interfare.
Try to tackle the situation in a way where you give more benefit to employees and less expenditure to the employer and that HR can only do.
