hi friends
I am new to this forum.
I have recently joined a new company, where the employees are not used to any kind of reporting system. Last few months inspite of guiding them and giving them the templates ...it's not happening. They say they dont have time to do such things. My team does not understand the importance of reporting to management.They just do the work and have no measurment on thier own work.
I need to motivate them and make them understand the reporting is must.
Need your suggestion.

Dear Mrs. Ram,

Its very difficult to bring change in any company or enviroment. Your team may not be able to understand the importance of documentation. I dont know whether your company is ISO certified or not, but the essential for any ISO certified comany is documentation.

Coming back to your question, you have to mention your post as well, like in which capacity you are currently working. Because its very difficult to instruct your seniors for the same but for your subordintes its relatively a easy task to do.

Irrespective of juniors and seniors you have to force this act of documentation. Although you are new to the company, but still you have to influence this ASAP. Motivation is either positive or negative. Positive motivation is like you may encourage them by giving them some rewards, verbal or inshape of some incentives.

In your case, its not only you who can change the system. It is responsibility of your higher management to support you. only then you will be successful by implementing the change.

As per my view you can give some examples, like "it gives negative signs towards thier performance if managment has to follow up everytime also they should take their own responsibility to report on time..also when u reply all the time to them which is near to informing them, can be taken as an example that if we can reply u in time so why are u not replying in time...it is jst according to me...

Hi,
I see you are troubled, however am not sure motivating alone can solve this issue. Try if the following seem applicable for you:
1.Have a brain storming session to get inputs from all
2.Prove that & provide there are easy reporting procedures that will not eat into their time.
3. A half day awareness session about the need, Cost to company and benefit to individuals involved along with loss if reporting is not adhered.

Hi Mrs. Ram,
There are two solutions to any problem:
The easy way: You tried it. Since all your employees or team members say that they dont have time this cant be a solution.
The hard way: Just issue a memo that either the team reports everyday or once in two days whatever you prefer or everyday they have to stay back late and there would be a team meeting arranged by the team leaders to their teams.
Definitely you will observe that people with no time will start finding time for the same.
